About The Position

Concordia Consulting Group (CCG), in partnership with Pantheon Data, is seeking an Administrative Support- Project Specialist for the U.S. Trade and Development Agency (USTDA). This role provides critical administrative and technical support, focusing on managing the agency's project report library, ensuring the seamless operation of conference and training facilities, and offering hands-on audio-visual (AV) support for high-level events. Requirements

  • At least 7 years of administrative management or relevant professional work experience.
  • Experience managing a project report library or information database.
  • Demonstrated experience in setting up conference, board, or training rooms.
  • Physical ability to move a large number of files and/or heavy file boxes.
  • U.S. Citizenship with the ability to obtain and maintain a Secret Security clearance.

Nice To Haves

  • Proficient in a variety of IT programs, databases, and computerized systems.
  • Expertise in troubleshooting AV equipment during live events.
  • Relevant certifications are preferred.

Responsibilities

  • Manage the agency project report library, including creating, inventorying, and maintaining the library holdings database for feasibility studies and final reports.
  • Perform physical room setups for seven conference rooms and the training center, including furniture, refreshment stations, and AV equipment.
  • Provide on-site technical assistance during events to resolve issues with microphone and monitor connectivity or presentation access.
  • Maintain and update electronic data in Agency systems (e.g., SharePoint, PIMS) and assist with records management and document flow processes.
  • Evaluate the effectiveness of administrative programs and recommend improvements to business processes and procedures.
  • Provide training and technical assistance to Agency staff regarding IRC functions and administrative procedures.
  • Create and edit audio-visual content, such as presentations and videos, for use during meetings and events.
  • Support various administrative functions, including office management, building facilities, human resources, or security-related tasks.
