About The Position

The Administrative Support Professional provides dual-function operational support at the Center for Information Warfare Training (CIWT), Pensacola, Florida. This role involves 50% Office Automation & Technical Support, providing technical assistance in support of computer-aided modification, utilization, printing, and office automation. The other 50% is dedicated to Mail Distribution Services, which includes providing official and commercial mail delivery, receipt, and distribution services for CIWT, tenant activities, and assigned personnel.

Requirements

  • High School Diploma or equivalent.
  • 2+ years of experience in administrative support, office automation, or mailroom/logistics operations.
  • Must possess and maintain a valid state driver's license and qualify for a government driver's license.
  • Must possess and maintain an active Secret security clearance.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Visio) and standard office automation software.
  • Strong verbal and written communication skills to interface effectively with military personnel, civilian staff, and contractors.
  • Ability to lift up to 50 lbs. (required for mail handling duties).

Nice To Haves

  • Knowledge of Navy or DoD postal regulations and mail handling procedures is highly desirable.

Responsibilities

  • Uses desktop publishing, design software, and office automation tools to produce a variety of high-quality documents, materials, and digital graphics.
  • Provides technical support in the operation, configuration, and troubleshooting of local office automation equipment, printers, and scanners.
  • Monitors local network printing queues and coordinates repairs with IT support personnel when technical issues arise.
  • Assists staff and students with document formatting, layout design, and printing/reproduction requests.
  • Receives and sorts official incoming and outgoing mail and distribution materials.
  • Receives, signs for, and processes incoming registered, certified, insured, and special delivery mail, including Federal Express, DHL, UPS, and other commercial carriers.
  • Operates government vehicles to collect and deliver mail from the base post office, ensuring all items are brought to the mailroom for processing.
  • Provides counter service for incoming and outgoing mail, maintaining logbooks and required records for accountable mail.
  • Provides directory service for misaddressed mail, ensuring undeliverable mail is properly rerouted or returned to sender.
  • Manages and maintains mailboxes and distribution slots for authorized tenant commands and personnel.
  • Ensures compliance with all Navy and Department of Defense (DoD) postal instructions, physical security requirements, and mail handling regulations.
