About The Position

SDSU is seeking a highly organized and detail-oriented Administrative Support Coordinator to support the School of Communication. In this role, you’ll serve as a key administrative support partner, coordinating administrative, fiscal, and external engagement activities, supporting leadership, and ensuring smooth day-to-day operations.

Requirements

  • Fully functional knowledge of and skill in standard office procedures and practices.
  • Ability to understand and operate in a variety of organizational structures.
  • Thorough knowledge of English grammar, spelling, and punctuation.
  • Ability to clearly communicate orally and in writing.
  • Ability to use and quickly learn new office support technology systems and software packages.
  • Strong written and verbal communication skills, including the ability to draft correspondence, prepare reports, and communicate procedural information clearly and effectively.
  • Advanced proficiency with office productivity software, databases, enterprise systems, and technology used to support academic and administrative operations.
  • Ability to maintain accurate records, monitor workflow, coordinate administrative processes, and ensure compliance with established requirements and deadlines.
  • Ability to work independently with minimal supervision while contributing effectively as a collaborative member of a department and college administrative team.
  • Ability to provide high-quality customer service and serve as a resource for faculty, staff, students, and campus partners.
  • Experience providing administrative support within a higher education, academic, or similarly complex organizational environment.
  • Must currently be authorized to work in the United States on a full-time basis.

Responsibilities

  • Coordinate processes regarding faculty recruitment, Retention, Tenure, and Promotion (RTP), lecturer evaluation, appointment, reappointment, separation, workload, and related recordkeeping in accordance with university policies and confidentiality requirements.
  • Utilize SIMS-R, Astra, APPS Express, and related university systems to develop, maintain, and implement academic course schedules for the fall, spring, summer, and intersession terms; monitor enrollment demand, analyze course capacity, room utilization, WTU, assigned time, and instructional resource needs, and recommend operational solutions in coordination with the School Director, Enrollment Services, and other campus partners.
  • Coordinate daily clerical and administrative support functions for the School office, establishing and maintaining procedures, and providing lead work direction, training, and guidance to support staff and student assistants.
  • Monitor, reconcile, and track departmental, foundation, and special project fiscal activity; analyze budget data and prepare routine fiscal reports; and identify funding concerns, unusual expenditures, or variances to management.
