About The Position

The CHHS Admin Coordinator provides administrative support to the College of Health and Human Services (CHHS), the CHHS ASM, and CHHS Departments, as needed. This Coordinator will be assigned to support various Departments, Department Chairs/Directors, faculty, staff, and students in a wide variety of areas, including budgeting and finance, communications, scheduling, record keeping, and personnel matters. The Admin Support Coordinator also acts as a customer service specialist for its constituents: faculty, staff, students, and the public-at-large. This position may support multiple department units at one time and the various units supported can be complex in nature and will require the ability to learn the intricacies of each department quickly and be able to make decisions about the proper course of action on various tasks interdependently.

Requirements

  • Requires a knowledge of various Microsoft Products, including Microsoft Office.
  • Microsoft Excel experience and skills are required.
  • Ability to communicate with an ethnically and culturally diverse campus community.
  • Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.
  • Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."
  • Equivalent to five years of administrative support experience required.

Nice To Haves

  • Experience in PeopleSoft and Sharepoint are highly preferred.
  • Experience with purchasing and managing a budget preferred.
  • Valid CA Driver's License preferred.

Responsibilities

  • Assists the Department Chair/Director in preparing and/or projecting Department budget or expenditures annually.
  • Creating, updating, and purchasing department brochures, and other Departmental outreach materials.
  • Provides administrative support to Chair/Director for recruitment process of faculty, staff, student assistants, and independent contractors per CSULB/CHHS policies and procedures.
  • Maintains records of course outlines and syllabi, including recommended revisions, additions, and edits of final copy for consistency with policy.
  • Assists Chair/Director in tracking faculty schedule availability and preferences.
