About The Position

The Education, Employment, and Supportive Services (EESS) Administrative Support Coordinator serves as a primary point of contact for participants, community members, partners, visitors, staff, and other key stakeholders seeking information or services through the EESS Division. This position provides professional, courteous, and customer service while supporting the coordination, documentation, and delivery of Division programs and services. The Coordinator maintains an active presence and availability to support EESS department operations and supports the Division’s efforts to provide high-quality, coordinated, and non-duplicative services to the people of the Bering Strait region.

Requirements

  • High school diploma or GED and a minimum of one (1) year of relevant work experience required.

  • This position is subject to all requirements of the Indian Child Protection and Family Violence Prevention Act, 25 USC 3201-3211 (ICPA). A background check clearance is required. ICPA requirements apply and must be complied with at all times in order to remain in the position.

Nice To Haves

  • Two (2) years of work experience in career counseling, job development activities, and training programs.
  • Working knowledge of Microsoft Office applications, including Word, Excel, Outlook, Teams, and other office technology and familiarity with virtual meeting platforms, internet-based applications, and design tools such as Canva is preferred.

Responsibilities

  • Develop and maintain working knowledge of all EESS programs, including applicable rules and regulations, policies and procedures, application processes, eligibility requirements, required documentation, and available participant supports.
  • Serve as a welcoming and professional first point of contact by answering phone calls, responding to general questions and email inquiries, greeting visitors, employees, and participants, and directing individuals to the appropriate staff, program, department, or outside resource.
  • Conduct the initial applicant intake process for most EESS Division services, including providing guidance and assistance to participants, reviewing applications for completeness, ensuring all necessary forms are received, making an initial assessment of potential eligibility, and assisting with follow-up communication.
  • Provide administrative, clerical, and operational support to the EESS Leadership Team and Division staff as needed, including preparing and processing documents, coordinating travel, gathering information for reports, scheduling meetings, and performing general office duties.
  • Assist with the coordination, preparation, and implementation of outreach events, career fairs, service fairs, community activities, trainings, and special projects as assigned.
  • Update, organize, and maintain program applications, forms, participant materials, brochures, promotional items, outreach materials, and other Division resources to ensure information is current, accurate, accessible, and professional.
  • Help maintain a clean, organized, safe, and welcoming office environment, including the lobby, storage areas, breakroom, shared workspaces, meeting areas, and participant service areas. Ensure office equipment is functioning properly and that supplies are monitored, stocked, and ordered in a timely manner.
  • Maintain the Workforce Resource Center for participant use by ensuring computers, internet access, phones, copier, fax, scanner, and related equipment are available, organized, and in good working condition. Assist participants with basic use of resource center equipment as appropriate.
  • Cross-train with other EESS staff and provide coverage or support for essential office functions, front desk duties, participant services, and administrative processes as needed.
  • Attend evening meetings, outreach events, trainings, community events, or other activities as assigned. This may include occasional travel during evenings, weekends, or holidays, including travel to communities throughout the Bering Strait region.
  • Support effective communication, coordination, and teamwork across EESS programs to help ensure participants receive timely, appropriate, and non-duplicative services.
