About The Position

The Administrative Support Assistant II provides administrative operations and front desk support for the College of Arts and Letters Student Success Center and Assistant Dean’s Office. Serving as a first point of contact for students, faculty, and external partners, this role interacts with a wide variety of campus entities and provides support to departmental leadership in a fast-paced academic environment.

Requirements

  • Fundamental written and oral communication skills, including a sound foundation in English grammar, spelling, and punctuation.
  • Ability to understand standard office procedures.
  • Ability to operate standard office equipment.
  • Ability to learn office technology systems.
  • Ability to perform basic mathematical calculations.
  • Typing and keyboard skills.
  • Proficiency with word processing and standard office software on PC-based systems, including Microsoft Office Suite.
  • Knowledge of effective office practices and procedures, with the ability to interpret and carry out instructions accurately.
  • Ability to learn new tasks quickly, work with minimal supervision, and complete assignments accurately and professionally.
  • Ability to manage multiple priorities, work effectively under pressure, and remain productive amid frequent interruptions.
  • Strong interpersonal skills, with the ability to work effectively with faculty, staff, students, and the public, including handling sensitive interactions.
  • Must currently be authorized to work in the United States on a full-time basis.
  • Must complete a background check satisfactorily.

Responsibilities

  • Provide administrative and logistical support for SDSU events and special projects, develop and maintain event communication materials, and coordinate with campus partners and vendors to support successful event execution.
  • Support scholarship administration processes by maintaining tracking systems and records, facilitating communications among academic departments and Office of Financial Aid & Scholarships, and assisting with communications and documentation associated with scholarship awarding processes.
  • Coordinate front-office scheduling, meetings, and communications, respond to front-desk inquiries, and handle office operational needs.
  • Support student success initiatives with development, maintenance, and dissemination of digital communications and informational materials; responding to requests for information from prospective and current students, families, and campus partners.
  • Coordinate processing and tracking of student petitions and grievances by maintaining confidential records, collaborating with campus offices to ensure timely processing and review, and remaining current on relevant university policies and procedures.
  • Assist with expenditure tracking, account reconciliation, process purchasing and reimbursement transactions, and maintaining accurate financial and procurement records.
  • Collect, track, maintain, and compile data related to student success initiatives participation and operational needs.
