About The Position

This competition is to create a talent pool for Administrative Support 3 and 4 positions in Edmonton and Calgary. Applicants are applying for consideration across multiple current and future administrative support positions simultaneously. The Government of Alberta (GOA) is seeking individuals committed to public service, who value collaboration, share organizational values, and are eager to learn and grow. Successful candidates will work both independently and as part of a team, performing a variety of duties while adhering to established policies, procedures, and processes. Proficiency in Microsoft Office Suite is essential for efficient day-to-day administrative responsibilities. Strong attention to detail and accuracy are needed for preparing correspondence and documents. Exceptional relationship-building skills are required for effective customer service. A drive for excellence and results is valued. Strong communication skills (in person, phone, virtual, written) and organizational/prioritization abilities are key to meeting deadlines and producing high-quality work. Administrative support positions within the GOA support a broad range of operational areas, including Program Support, Office and Administrative Support, Financial Support, Call Centre Support, Legal Support, Human Resource Support, and Social Services Support. Positions may be located in Edmonton or Calgary, as well as surrounding communities.

Requirements

  • Administrative Support 3 - High School diploma plus a minimum of one year of related administrative experience
  • Administrative Support 4 - High School diploma plus a minimum of two years of related administrative experience
  • Equivalencies will be considered based on 1 year of experience for 1 year of education or 1 year of education for 1 year of experience.

Nice To Haves

  • Proficiency with Microsoft Office applications (Word, Outlook, Excel, PowerPoint)
  • Experience using common enterprise systems such as SharePoint, Adobe Acrobat, 1GX, and Action Request Tracking System (ARTS)
  • Demonstrated organizational, time‑management, and prioritization abilities supported by excellent written and verbal communication skills

Responsibilities

  • Serve as a first point of contact for the public, responding to inquiries by phone, email, or in person, and providing information on program requirements, processes, and eligibility.
  • Draft and format correspondence, manage records, complete data entry, maintain calendars, and coordinate office supplies.
  • Process and review financial documents related to expenditures, reconciliations, petty cash, and other routine financial transactions.
  • Provide information and handle public inquiries regarding government announcements, public consultation initiatives, or major incidents.
  • Ensure completion and compliance within applicable legislation, regulations, and policies, and provide support to legal systems and staff.
  • Support human resources operations through scheduling coordination, preparation and distribution of materials, accurate data entry, and assistance with tracking, reporting, and administrative processes.
  • Provide administrative support to front line social service programs serving seniors, children and youth, and vulnerable populations.
  • Respond to inquiries from the public and stakeholders, directing them to appropriate government offices and resources.
  • Manage forms and records containing highly sensitive information.
  • Prepare correspondence and a wide range of documents.
  • Provide effective customer service to internal and external stakeholders.
  • Interact in person, by phone, virtually, or through written formats such as email and letters.
  • Meet deadlines and produce high-quality work.
