About The Position

MPOWER Physical Therapy is looking for a highly organized, service-driven Administrative Supervisor to lead our administrative team and help ensure an exceptional experience for our patients, clients, and team members. This role is ideal for a confident administrative leader who enjoys developing people, improving processes, solving problems, and keeping operations running smoothly. The Administrative Supervisor will provide day-to-day leadership and accountability for the Administrative Team while supporting reporting, process improvement, scheduling, auditing, and cross-departmental initiatives. The successful candidate will be comfortable balancing people leadership, customer service, data and reporting, and hands-on operational support in a fast-paced healthcare environment. Requirements

  • High School diploma is required
  • Previous experience working in a healthcare administrative role and/or medical office setting
  • Excellent follow up skills with patients and team members
  • Excellent organizational, prioritization and communication (verbal and written) skills
  • Ability to take direction, prioritize tasks and proper time management
  • Kind and helpful personality and communication skills
  • Ability to handle difficult people and situations
  • Ability to work proficiently with Practice Management software with sufficient training
  • Firm command of MS Office Suite
  • Neat and professional appearance
  • Ability to lead and participate in a professional and thoughtful manner in all meetings
  • Maintain patient confidentiality and comply with HIPAA and compliance guidelines established by the practice

Nice To Haves

  • Experience with project management preferred
  • Knowledge of insurance requirements and medical terminology preferred

Responsibilities

  • Lead, manage, coach, and hold the Administrative Team accountable for day-to-day performance and customer service
  • Assist with recruitment, interviewing, hiring, onboarding, and ongoing development of administrative team members
  • Conduct quarterly conversations, performance evaluations, and compensation reviews for direct reports
  • Create a culture of exceptional customer service for patients, clients, and team members
  • Address performance, behavioral, and policy concerns promptly, professionally, and consistently
  • Ensure projects and administrative processes are completed accurately and within established timelines
  • Meet or exceed assigned productivity and performance metrics
  • Collect, analyze, and present daily, weekly, monthly, quarterly, and annual operational data across MPOWER departments
  • Maintain users, access, and subscriptions for MPOWER's electronic resources
  • Coordinate student shadowing and clinical internship schedules and required documentation
  • Coordinate company-wide meetings and cross-departmental initiatives
  • Ensure assigned accounting reconciliation tasks are completed accurately and timely
  • Serve as primary backup for daily therapy claims audits and therapy data reporting
  • Provide operational backup for therapy scheduling and Front Desk Supervisor responsibilities
  • Assist with auditing, evaluating, and modifying administrative and operational processes to improve efficiency
  • Maintain work schedule as assigned by the Senior Director of Operations
  • Assist the Senior Director of Operations with special projects and initiatives as assigned
