About The Position

Cassia, a nonprofit senior living organization, is seeking an Administrative Supervisor to join its corporate team. This role offers an opportunity for an organized, detail-oriented professional to support senior leadership and manage a small administrative team. The Administrative Supervisor will collaborate with leadership and various departments to enhance efficiency, communication, and daily operations within a mission-driven environment. The position involves overseeing two full-time and one part-time team member, while also performing administrative tasks for senior leadership. Key duties include preparing documents and presentations, managing calendars and communications, handling confidential information, and providing backup support to the Administrative Services team. The ideal candidate should have at least 2 years of administrative experience, strong Microsoft Office skills (Word, PowerPoint, Outlook), excellent written communication, and the ability to manage multiple priorities with accuracy and professionalism. A positive, proactive mindset and a collaborative spirit are highly valued.

Requirements

  • Intermediate to advanced working knowledge of Microsoft Suite Outlook, Word, PowerPoint and Outlook Calendar.
  • Basic knowledge of Excel.
  • 2+ years of recent office/administrative experience.
  • Ability to work both collaboratively and independently, prioritize and execute tasks, as well as learn new activities and procedures quickly.
  • Ability to meet deadlines consistently.
  • Ability to maintain confidentiality.
  • Hold a strong attention to detail.
  • Excellent written and verbal communication.
  • Must have a valid driver's license.

Nice To Haves

  • Associate or bachelor's degree preferred, but not required.
  • Be a notary or willingness to obtain.

Responsibilities

  • Supervise and support two full-time and one part-time administrative team members.
  • Write communication on behalf of senior leadership, including letters, emails, documents, policies, and presentations.
  • Oversee state entity renewals, charitable solicitations and COI distributions.
  • Manage/drive fleet vehicles for errands and maintenance.
  • Assist Senior Leadership and key departments with a variety of specialized projects.
  • Coordinate various on and off-site meetings, including invitations, food arrangements, agendas and presentation materials, and more.
  • Supervise and support two full time and one part time administrative team members.
  • Provide administrative backup of other administrative team members, including the receptionist (phone/guest responsibilities).
  • Notarize documents.
  • Perform additional duties as requested.
