About The Position

Under the direction of the Administrative Manager, the Administrative Supervisor is responsible for providing office support services at the assigned site(s). This role partners with site leadership to provide administrative support in alignment with Agency standards, and supervises, directs, and develops the administrative associates assigned to the site. The Administrative Supervisor communicates effectively with appropriate site personnel in a professional manner regarding assigned tasks that integrate with site processes. This role leads the site-based administrative team to ensure timely and accurate completion of tasks and projects, and oversees the implementation and maintenance of the program accounting system, systems for controlling incoming and outgoing written communications, data collection, and comprehensive records management. Additionally, the Administrative Supervisor provides oversight and support for site needs, on-site technical support to all staff, payroll processing, psychiatric department needs, and other administrative functions as assigned.

Requirements

  • Must possess a High School Diploma or general education degree (GED).
  • Must have two years of previous administrative support experience in a similar role.
  • Effective verbal and written communication skills.
  • Proficient in all Microsoft products.
  • Must possess a valid California driver's license, personal automobile insurance and driving record that meets the standards outlined in the Agency’s Personnel Policy: Motor Vehicle Operating Standards.
  • Must be physically and mentally fit in accordance with the Agency’s Personnel Policy: Physical Fitness Standards and Examinations.
  • Must be willing to complete a Tuberculosis (TB) test and drug screening test.
  • Must complete a personal background investigation conducted by the State of California.
  • Must be willing to work within a culturally integrated workplace and be willing to respect human differences based upon protected classes as defined by state, federal and local laws, or any other condition that distinguishes people from one another.

Nice To Haves

  • Previous experience providing general administrative support in a Mental Health, Behavioral Health, or Social Services setting.
  • Previous supervisory experience.

Responsibilities

  • Partners with site leadership to provide administrative support in alignment with Agency standards.
  • Supervises, directs and develops the administrative associates assigned to the site.
  • Communicates effectively with appropriate site personnel in a professional manner regarding assigned tasks that integrate with site processes.
  • Leads site-based administrative team to ensure timely and accurate completion of tasks and projects as assigned.
  • Leads site-based implementation of new or modified administrative processes to ensure alignment with regional and Agency standards.
  • Oversees implementation and maintenance of program accounting system, systems for controlling incoming and outgoing written communications, data collection and comprehensive records management.
  • Provides oversight and support for: a) Manage site needs, b) On-site technical support to all staff, c) Payroll processing, d) Manages psychiatric department needs, and e) Administrative functions (if assigned to Administrative Office).
  • Completes other duties as assigned.
