About The Position

Under the direction of the Administrative Manager, the Administrative Supervisor is responsible for providing office support services at the assigned site(s). This role involves partnering with site leadership to provide administrative support in alignment with Agency standards, supervising, directing, and developing administrative associates. The supervisor communicates effectively with appropriate site personnel regarding assigned tasks, leads the site-based administrative team to ensure timely and accurate completion of tasks and projects, and leads the implementation of new or modified administrative processes to align with regional and Agency standards. Additionally, the position oversees the implementation and maintenance of program accounting systems, systems for controlling incoming and outgoing written communications, data collection, and comprehensive records management. The Administrative Supervisor also provides oversight and support for managing site needs, on-site technical support to all staff, payroll processing, and managing psychiatric department needs, including administrative functions if assigned to the Administrative Office.

Requirements

  • High School or general education degree (GED).
  • Two years of administrative support experience.
  • Must possess a valid California driver's license, personal automobile insurance and driving record that meets the standards outlined in the Agency’s Personnel Policy: Motor Vehicle Operating Standards.
  • Must be physically and mentally fit in accordance with the Agency’s Personnel Policy: Physical Fitness Standards and Examinations.
  • Must be willing to complete a Tuberculosis (TB) test and drug screening test.
  • Must complete a personal background investigation conducted by the State of California.

Responsibilities

  • Partners with site leadership to provide administrative support in alignment with Agency standards.
  • Supervises, directs and develops the administrative associates assigned to the site.
  • Communicates effectively with appropriate site personnel in a professional manner regarding assigned tasks that integrate with site processes.
  • Leads site-based administrative team to ensure timely and accurate completion of tasks and projects as assigned.
  • Leads site-based implementation of new or modified administrative processes to ensure alignment with regional and Agency standards.
  • Oversees implementation and maintenance of program accounting system, systems for controlling incoming and outgoing written communications, data collection and comprehensive records management.
  • Provides oversight and support for the following: a) Manage site needs, b) On-site technical support to all staff, c) Payroll processing, d) Manages psychiatric department needs.
  • Administrative functions (if assigned to Administrative Office).
