About The Position

The Administrative Staff Specialist performs administrative and secretarial functions for the Department of Surgery. This role assists with budget planning, monitors expenditures, processes accounts receivable, and resolves discrepancies with vendors. The specialist maintains personnel files in accordance with JCAHO expectations, orders supplies and equipment, and reports hazards. Key responsibilities include scheduling appointments, registering patients, resolving patient disputes, and answering telephones. The position also involves verifying insurance, obtaining referrals and authorizations, and staying updated on insurance policies and changes, as well as Hospital and HR policies. The Administrative Staff Specialist arranges for the repair and maintenance of office equipment, monitors staff attendance and time, and provides assistance to staff. This role facilitates and coordinates the day-to-day administrative activities of the department and supports the fiscal and time management objectives through effective interactions with the health care team and other support staff. The position serves all age-specific groups and operates in a fast-paced environment, requiring the ability to manage multiple priorities and adapt to frequent changes with minimal supervision.

Requirements

  • Minimum of four (4) years of previous secretarial/administrative work experience in an office setting
  • Previous experience with Microsoft Office applications and e-mail/calendaring
  • High School Diploma or equivalent

Nice To Haves

  • Five (5) years of previous secretarial/administrative work experience in an office setting
  • Previous experience in an academic health care setting
  • Associate Degree in Business, Accounting or related field from an accredited program
