Helping our clients, our teams, and our communities create positive change is our mission, our purpose—our “why.” The Administrative Specialist will work under the direction of Government leadership and support daily office operations by managing taskings, coordinating meetings, maintaining records, preparing correspondence and reports, and ensuring the timely processing of executive materials. This position serves as an integral member of the Executive Affairs team, helping to facilitate efficient communication, workflow management, and coordination across the federal contract.

Requirements

  • Currently holds, or is able to obtain, DHS Fitness Determination.
  • High school diploma.
  • Minimum of one (1) year of demonstrated experience in: o Providing administrative and clerical support for clients and staff as tasked.
  • Duties may include word processing, research, proofreading, editing, copying, and binding, maintaining department/client files, expense reports, and coordinating events/meetings.

Responsibilities

  • Monitoring shared email boxes and a SharePoint-based task management system for EA tasking; logging and tracking incoming requests in accordance with established standard operating procedures and generating reports to assist with management and disposition of tasking.
  • Supporting the review, assignment (with approval from Government staff), de-confliction and prioritization of EA Taskings.
  • Proofreading written materials for typographical, grammatical and format errors; ensuring products are of consistent quality.
  • Performing clerical functions associated with EA leadership engagement activities such as preparing reports, tracking leadership commitments and decisions related to engagement opportunities, arranging, and participating in planning calls, and scheduling meetings.
  • Coordinating with Exec Sec teams and other entities across the Agency to employ task management workflows, review and process informational materials, secure applicable internal reviews, and ensure proper archiving and records management.
