About The Position

Amentum is seeking an Administrative Specialist to join our Team in Hillsboro, OR. The Administrative Specialist is responsible for providing support to executive staff by coordinating office services and handling administrative and office details. This contingent role is being posted in anticipation of potential new scope and future full-time openings.

Requirements

  • High school diploma or equivalent and advanced secretarial training.
  • 4 years of prior related experience with 2 years of experience with the company preferred.
  • Requires working knowledge of commonly used PC applications such as word processing, spreadsheets, and databases.
  • Demonstrated fluency in computer use including the full Microsoft product line.
  • Requires some moving of light to medium weight materials into desks, filing cabinets and other storage locations.
  • Requires the ability to interact with all clients in a professional and friendly manner despite periods of stress.
  • Wear steel toe safety shoes, safety glasses, gloves and other Personal Protective Equipment as needed.
  • Cope with demands (stressors) that are associated with the job and/or the work environment so that acceptable levels of performance and overall contribution are maintained.

Nice To Haves

  • Familiarity with facilities equipment descriptors such as HVAC, plumbing, and electrical.
  • Experience working in purchasing or subcontracting in a manufacturing, maintenance, or a related service field.
  • Experience with CMMS.
  • Experience overseeing storeroom operations.
  • Experience streamlining and improving inventory practices.

Responsibilities

  • Under general supervision and acting on own initiative, performs advanced secretarial, clerical, and administrative duties for Executive-level management.
  • Possesses extensive knowledge of office practices and procedures.
  • Possesses and displays the ability to apply techniques, procedures and criteria in carrying out a wide variety of related clerical and administrative tasks for executive management.
  • Performs advanced secretarial, clerical, and administrative duties for Executive-level management.
  • Assignments generally involve work of a confidential nature and require knowledge of the practices and procedures of the function, company products, policies, and programs.
  • Facilitates decision-making.
  • Assembles and analyzes information, prepares reports, manuals, agendas, correspondence and memoranda.
  • Answers mail and inquiries on own initiative, follows up with other departments to ensure that requests are carried out.
  • Coordinates activities across departments.
  • Arranges and makes notifications of appointments and travel reservations/arrangements.
  • Answers telephone calls, tactfully handles inquiries and/or transfers calls to appropriate party.
  • Checks and processes expense reports.
  • May take dictation and transcribe notes for letters, memos, or reports.
  • Prepares materials in final form from very rough and involved drafts which may utilize frequent use of technical terminology and which combine materials from several sources.
  • Plans layout of complex reports and statistical tables.
  • Interfaces with other Secretaries/Administrative Assistants to share or coordinate workload.
  • Perform all other position related duties as assigned or requested.
