About The Position

The Administrative Specialist position at the City of Edinburg in Edinburg, TX performs entry-level to routine (journey-level) administrative support work. This role is essential to the city, involving compiling and tabulating data, checking documents for accuracy, transporting documents, maintaining files, and preparing and distributing information concerning programs and services to various city personnel. The position also involves assisting in preparing, editing, and distributing correspondence, reports, and forms, managing schedules and travel arrangements, and performing general office duties such as filing, answering phones, routing mail, and ordering supplies. The role requires providing assistance and support to other divisions within the department as needed.

Requirements

  • High school diploma, GED or equivalency.
  • One (1) year of experience in administrative, budgetary, and clerical functions.
  • Current valid class "C" driver's license from the Texas Department of Public Safety.
  • Excellent oral and written communication skills.
  • Attentive to detail.
  • Dependability.
  • Skills in general office procedures and policies.
  • Skills in general office equipment and computers.

Nice To Haves

  • Community college, vocational, business, technical, or correspondence school certificates.
  • Two (2) years' in related fields.
  • Bilingual English/Spanish.

Responsibilities

  • Provide administrative support and assistance to the assigned department and other personnel.
  • Compile and tabulate data.
  • Check documents for accuracy.
  • Transport documents.
  • Maintain files.
  • Prepare and distribute information concerning programs and services to City Council, City Manager, Department Heads, and employees.
  • Assist in preparing, editing, and distributing correspondence, reports, and forms.
  • Manage and maintain schedules and travel arrangements for managers and directors.
  • Provide assistance with general office duties such as filing, answering and routing phone calls, routing mail, and ordering and maintaining office supplies.
  • Provide assistance and support to other divisions within the department as needed.
