About The Position

The Administrative Specialist provides high-level administrative support that keeps our team organized. This position involves maintaining accurate records, providing exceptional customer service to all customers and member owners, preparing and maintaining various reports, and managing customer accounts.

Requirements

  • High School diploma or equivalent
  • Previous experience as an Administrative Specialist or similar role
  • Proficiency in Microsoft Office Suite
  • Valid driver’s license
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Familiarity with office management procedures and basic accounting principles.

Responsibilities

  • Record Maintenance: Accurately maintain and update company records, including customer information, member owner details, and other relevant data.
  • Customer Service: Provide the highest level of customer service to all customers and member owners, addressing inquiries and resolving issues promptly and professionally.
  • Report Preparation: Prepare and maintain various reports, ensuring accuracy and timeliness. This includes financial reports, inventory records, booking reports, and other operational documents.
  • Customer Accounts Management: Work with customer accounts, including setting up new accounts, updating existing accounts, ensuring all account information is current and accurate, reviewing customer aging reports for accuracy, and collecting payments on customer accounts.
  • Agronomy Accounting Management: Ensure accurate and timely entry of agronomy products into the system, invoice products and services to customers, process bank deposits and collect mail.
  • Administrative Support: Provide general administrative support, including answering phones, managing emails, scheduling appointments, operating the scale and coordinating meetings.
  • Office Management: Assist in the overall management of office operations, ordering office supplies, ensuring a clean, organized, and efficient work environment.
  • Communication: Serve as a point of contact between different departments, facilitating smooth communication and collaboration across the organization.
  • Project Assistance: Assist with special projects as needed, contributing to the successful completion of organizational goals.
