About The Position

The Bowling Green Veterans Center is a skilled nursing facility dedicated to caring for the Commonwealth of Kentucky’s Veterans. Our mission is to serve Kentucky’s Veterans by fostering independence, preserving dignity, and providing compassionate care. The Administrative Specialist provides professional administrative support for the Nursing Department scheduling function at the Bowling Green Veterans Center. This position is responsible for developing, maintaining, and monitoring staffing schedules; preparing required scheduling and staffing reports; and ensuring scheduling practices align with facility policies and applicable guidelines to support safe, consistent resident care.

Requirements

  • Graduate of a college or university with a bachelor's degree.
  • One year of professional, administrative, or business experience.
  • Additional education will substitute for the required experience on a year-for-year basis.
  • Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Responsibilities

  • Provides professional support in the review, evaluation, development, and implementation of activities related to the Nursing Department scheduling unit.
  • Develops work assignments and schedules by interpreting and applying applicable rules, policies, and procedures governing the scheduling program.
  • Prepares, maintains, and updates nursing department schedules, including routine scheduling, planned overtime, and mandatory overtime as needed.
  • Prepares and submits accurate daily, weekly, and monthly scheduling reports in accordance with facility guidelines and applicable statutory requirements.
  • Compiles, tracks, and documents daily staffing levels, coverage patterns, and incidents of unauthorized absences.
  • Maintains nursing department time and attendance records to support operational needs and reporting requirements.
  • Communicates scheduling updates and staffing needs with nursing leadership and designated supervisors to support appropriate coverage.
  • Performs other duties as assigned.
