About The Position

In this role, you will be responsible for providing superior customer service via the department’s main phone lines and reception area, servicing the public, courts, law enforcement, and other government agencies. Utilizing your administrative skills, you will be providing exceptional principal reception duties to the County Attorney’s Office. Requirements

  • Two years of experience performing office, administrative, and clerical duties
  • High school diploma or GED
  • Must currently possess or have the ability to obtain a valid Arizona Driver's License at the time of hire
  • May be required to obtain a Notary Commission

Nice To Haves

  • Experience communicating with the public, government employees, and/or other law enforcement agencies verbally and in writing
  • Bilingual (English/Spanish)

Responsibilities

  • Directly receive evidence and intake from law enforcement, documenting officer, badge #, and agency. Research case assignment and notify assigned DCA and Paralegal, confirming pickup or interoffice mail.
  • Independently research databases (PBK, Karpel, iCIS, Superior Court sites, Justice Court sites, etc.) to provide information to the public.
  • Answer complex questions about the criminal justice process and procedures for the public or victims.
  • Provide reception services telephonically and in person, promptly prioritizing multiple simultaneous requests and accurately providing information, documents, and media.
  • Promptly and professionally answer a multi-line telephone, determine caller/visitor needs, research case status and their role, and transfer calls, record messages, or respond to inquiries while maintaining confidentiality.
  • Greet incoming visitors, determine if they have official business, notify designated staff of their arrival, request identification, create a Visitor Badge, and direct those without official business to the appropriate agency.
  • Utilize internal and external databases to access and retrieve case information.
  • Maintain knowledge of current high-profile cases and office issues to better respond to public inquiries or media requests.
  • Scan a variety of legal documents and upload them into PbK case files.
  • Expedite the delivery of incoming postal mail, motions, and items delivered to the office and distribute them to the appropriate employee.
  • Research the status of cases or jurisdiction through various electronic sources.
  • Create, update, and maintain documents and reports as requested.
  • Type, photocopy, scan, or fax miscellaneous documents as needed.
  • Attend regular office press conferences to become familiar with current messages shared by the County Attorney with the media on cases of interest.
