About The Position

Join our team at the Office of Mental Health where we are dedicated to providing compassionate and accessible care to our community. We are seeking an Administrative Specialist II who is motivated to help individuals and families navigate life's challenges and achieve long-term wellness. This position is located at the SC Department of Behavioral Health and Developmental Disabilities (DBHDD) - Office of Mental Health, 2715 Colonial Drive, Columbia, SC 29203. As the Administrative Specialist II, working under direct supervision, you will perform advanced administrative and clerical duties, which are critical to the operation of Adult Clinical Services (ACS), a program within a large mental health center. You will apply policies and perform various tasks which significantly impact the operation of the unit and make independent decisions concerning the daily operation of the unit.

Requirements

  • A high school diploma. Related clerical experience may be substituted for a high school diploma.
  • Strong written and verbal communication skills.
  • Organized and works well with reports and data.
  • Strong customer service skills when working with patients (i.e. engaging, compassionate and positive attitude).
  • Be flexible and able to work with difficult patients from acute to chronic mental illness and those with complex and co-occurring disorders.

Nice To Haves

  • Two (2) years of clerical experience or an associate's degree in secretarial science or other related field; or three (3) years clerical experience.
  • Prior experience working with persistent mental illness.
  • Bilingual abilities in English and Spanish (or another language) are a plus.

Responsibilities

  • Receive and screen telephone calls, greet patients as they arrive for appointments, notify staff of patients' arrival via Electronic Medical Record (EHR), schedule appointments for patient and staff, making necessary changes as needed.
  • Initiate correspondence for patients as needed and reschedule appointment if staff member is out.
  • Assist staff and patients with completing release forms, faxing release forms to hospitals, clinics, other Columbia Area Mental Health Center (CAMHC ) programs, Office of Mental Health (OMH ) facilities, and other providers, tracking receipts of requested documentation and importing documentation received.
  • Maintain annual updates/financial information on patients assigned to ACS, ensuring that information obtained is scanned to patients' chart and submitted to the business office in a timely manner.
  • Assist in collecting fees, ensuring the necessary documentation is submitted to the business office adhering to CAMHC and OMH policies and procedures.
  • Comply with the Office of Mental Health Compliance Plan and all legal responsibilities and requirements in performing job duties.
