About The Position

The Administrative Services Manager leads a centralized team of administrative professionals, responsible for providing administrative and project coordination support across the organization. This role ensures administrative resources are effectively assigned, workloads are balanced, and departments receive consistent, high-quality support. The Administrative Services Manager is responsible for developing administrative staff, standardizing processes, coordinating coverage, and continuously improving administrative services throughout the company.

Requirements

  • Prior administrative, project coordination, or business operations experience.
  • Experience directly managing, coaching, and developing administrative or operational teams.
  • Calm under pressure, comfortable setting priorities and holding teams accountable, and skilled at working across all levels of the organization as business needs evolve.
  • Highly organized, dependable, and responsive, with a dual focus on driving operational results and fostering employee growth.
  • Exceptional communication and problem-solving abilities, with strong proficiency in Microsoft Office and business systems.
  • Proven ability to manage competing cross-departmental priorities, build standard workflows, and drive efficiency.

  • Experience in manufacturing or operations preferred.
  • Bachelor’s degree preferred or equivalent professional experience.

Responsibilities

  • Assign administrative staff based on departmental needs, workload, and organizational priorities.
  • Build a flexible team capable of supporting multiple departments and projects.
  • Oversee administrative support provided to departments, leaders, and special projects.
  • Coordinate meeting schedules, documentation, correspondence, action items, and project records.
  • Support vendor communication, document collection, invoice coordination, and general departmental administration.
  • Act as a functional escalation point and provide targeted coverage during peak business cycles.
  • Develop and maintain administrative procedures, templates, and service standards.
  • Improve administrative workflows and eliminate unnecessary duplication.
  • Ensure administrative processes are documented and transferable between team members.
  • Monitor workloads across the administrative services team.
  • Reassign resources as business needs and priorities change.
  • Identify opportunities to improve team capacity, efficiency, and service levels.
  • Partner with department leaders to clarify support needs and expectations.
  • Establish key service metrics (SLAs) to track administrative quality, responsiveness, and task completion.
  • Support company-wide initiatives requiring administrative or project coordination.
  • Help create a professional, organized, and service-focused administrative culture.
