About The Position

The Administrative Services Coordinator (Associate) provides comprehensive fiscal, administrative, and operational support for the Center for Student Engagement and the Roaden University Center. This position is responsible for managing departmental budgets and financial transactions, coordinating space reservations, supporting daily operations, and overseeing student employee processes. The coordinator exercises sound judgment and problem-solving to ensure efficient operations, accurate financial management, and adherence to Tennessee Tech policies and procedures.

Requirements

  • High school diploma with three years of related professional experience or an associate’s degree from an accredited institution in business administration, accounting, finance, or a related field with one year of related professional experience.
  • Experience in bookkeeping, financial recordkeeping, or administrative support
  • Demonstrated ability to manage budgets, reconcile accounts, and process financial transactions
  • Strong organizational, problem-solving, and communication skills
  • Proficiency in Microsoft Office applications (Excel, Word, Outlook)
  • Ability to interpret and apply policies, procedures, and financial guidelines

Nice To Haves

  • Bachelor’s degree from an accredited institution in business, accounting, or a related field
  • Experience in higher education or a student services environment
  • Familiarity with Ellucian Banner/Talon systems, TalonBud, and/or Talon Expense
  • Experience with ProCard reconciliation and institutional purchasing processes
  • Experience supervising student employees
  • Knowledge of event scheduling systems and campus space reservation processes

Responsibilities

  • Maintain and reconcile departmental budgets and fiscal records using Talon and TalonBud; generate regular budget reports and support financial planning efforts
  • Process financial transactions including invoices, requisitions, interdepartmental transfers, budget revisions, and travel authorizations and reimbursements
  • Track and reconcile departmental purchases and expenses, including oversight and management of ProCard usage within the Talon Expense module
  • Manage office purchasing, including ordering supplies and coordinating procurement activities in compliance with university policies
  • Provide administrative and operational support for the Center for Student Engagement and Roaden University Center, ensuring efficient daily operations and adherence to institutional policies and procedures
  • Coordinate and process reservations for the Roaden University Center and designated outdoor spaces, serving as a resource for space usage and scheduling inquiries
  • Supervise student employees, including scheduling, training, and day-to-day oversight; manage student payroll and timekeeping processes
  • Support departmental communication, recordkeeping, and reporting functions; assist with special projects, events, and operational initiatives as assigned
