About The Position

The Department of Teaching, Learning and Culture seeks a highly organized and proactive Administrative Coordinator II to manage daily office operations and serve as a central resource for faculty, staff, and students. This role oversees key administrative functions including office management, copier and supply coordination, key control, textbook and desk‑copy processing, and the development and enforcement of departmental procedures. The coordinator provides comprehensive support to departmental leadership through scheduling, meeting preparation, catalog updates, and submission of work orders, while also serving as the department’s primary contact for parking, telecom, and space management. Additional responsibilities include assisting with course scheduling, faculty credentialing, evaluation processes, and classroom assignments, as well as supporting TEA certification workflows. The position also plays a key role in planning and executing departmental events, managing logistics for visiting scholars, and coordinating major faculty and staff award nomination processes. This is a dynamic role ideal for someone who excels at multitasking, communication, and building efficient administrative systems.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Three years of experience in office administration.
  • Proficiency in Excel, Outlook, and Google Docs.
  • Ability to organize and prioritize work activities.
  • Knowledge of word processing, spreadsheet, and database applications.
  • Ability to multi-task and work cooperatively with others.

Responsibilities

  • Manage main office operations, including answering phones and maintaining office supply inventory.
  • Maintain departmental key database; issue and track keys for faculty, staff, and students.
  • Oversee copier maintenance and supply orders; coordinate service calls as needed.
  • Process textbook and desk copy orders via Faculty Enlight (Barnes & Noble); coordinate with publishers for desk copy distribution and returns.
  • Develop, evaluate, and enforce office procedures; monitor adherence and recommend improvements.
  • Print materials (documents, flyers, posters) for faculty and graduate students.
  • Provide administrative support to Associate Department Heads (Undergraduate & Graduate), including: Calendar scheduling, meeting coordination and catering, drafting agendas and attending meetings.
  • Coordinate catalog updates with undergraduate advisors.
  • Submit work orders via AggieWorks.
  • Serves as Department Parking representative.
  • Serves as Department Telecom representative.
  • Assist with planning and execution of departmental events (e.g., Education Career Fair, Black History Month, guest speakers, Literacy Studies Group).
  • Order supplies and coordinate logistics for events.
  • Manage paperwork and travel arrangements for visiting scholars.
  • Assist Assistant Department Heads with semester course scheduling and catalog updates.
  • Monitor and support the faculty evaluation process (AFIS).
  • Credential faculty for teaching assignments each semester.
  • Assist faculty with Weave Online updates.
  • Download and forward TLAC online course lists from Astra to the Office of Institutional Effectiveness.
  • Maintain and update the scheduling matrix.
  • Ensure TLAC courses are activated in AFIS for end-of-term evaluations.
  • Schedule TLAC classrooms for all semesters in Astra.
  • Support TEA certification packet submissions and coordinate with the Assistant Dean.
  • Manage office and room assignments for faculty, staff, and students.
  • Schedule classes and reserve rooms in Astra for defenses, meetings, and events.
  • Prepare offices for new faculty and staff; issue keys accordingly.
  • Conduct annual facilities space inventory.
  • Oversee TLAC classroom space in the EPRC building.
  • Coordinate equipment surplus and assist with departmental furniture moves.
  • Serves on College Committee for Spacing.
  • Coordinate faculty credentialing and departmental election processes.
  • Manage nomination processes for: Association of Former Students (College & University levels), University Professorships, Chancellor’s Academy of Teacher Educators.
  • Department-level awards.
  • Assemble and submit complete nomination packets to appropriate committees.
