About The Position

Serve as the departmental administrative assistant for the School of Interdisciplinary Studies (SOIS). This role involves performing a wide variety of clerical duties, some of which may be confidential. The position acts as the main point of contact between SOIS and other academic departments and off-campus programs. Key responsibilities include maintaining departmental student files, assisting the director, faculty, and advisors with student-related academic matters, and managing departmental fiscal records and university forms. The role also includes maintaining and updating the SOIS website and supervising student workers.

Requirements

  • High school diploma or equivalent.
  • Two years of general office experience.
  • Working proficiency with software such as Microsoft Outlook, Word and Excel.
  • Ability to work with minimum supervision.
  • Ability to work in a fast-paced and flexible environment.
  • Ability to effectively supervise student workers.

Nice To Haves

  • Bachelor’s degree from an accredited institution.
  • Prior experience in an academic environment with basic accounting skills.
  • Experience with Talon (Oracle) and Coursedog.

Responsibilities

  • Serve as the departmental receptionist/secretary.
  • Support the director in daily administrative activities.
  • Act as the point of contact for on and off campus programs.
  • Assist director, faculty, and advisors with student-related academic matters, including issuing enrollment permits, drop-add slips, and course substitutions.
  • Input classes into Coursedog and schedule classrooms.
  • Maintain departmental fiscal records, process university requisitions for invoices and travel claims, prepare personnel and financial components and contracts, and reconcile monthly expenditures.
  • Assist students with registration.
  • Handle office correspondence and perform a wide variety of clerical duties, which could be confidential in nature.
  • Provide technology assistance with websites, social media, and faculty support.
  • Maintain departmental student files, faculty academic and employment files.
  • Supervise student workers in the accomplishment of tasks and office-related assignments.
  • Serve as the central point of contact with off-campus sites and related off-campus staff.
