About The Position

The City of Springfield is seeking applicants for an Administrative Secretary position within the Office of Human Resources. This role serves as the primary point of contact for employees and the public, managing inquiries, maintaining records, scheduling meetings, and performing various secretarial duties to support the department's day-to-day operations and administrative projects.

Requirements

  • Requires knowledge, skill, and mental development equivalent to completion of four years of high school with three years of progressively responsible clerical or administrative experience; or any equivalent combination of education and experience.
  • Preference for employment in all positions with the city shall be given to applicants who are full-time city residents.
  • To be eligible to apply, current City employees must have completed their probationary period and attained certified status in their current position.

Responsibilities

  • Serve as the first point of contact for City employees and the general public by receiving, prioritizing, and responding to inquiries in person and through the Human Resources shared email account.
  • Maintain files and records for the department.
  • Maintain and schedule meetings using the department Outlook calendar.
  • Answer and transfer calls using a multiline phone system, utilizing HR information systems and the applicant tracking system to assist with inquiries.
  • Assist with day-to-day operations within an office environment.
  • Perform secretarial duties for the department.
  • Assist Personnel Officer with administrative projects.
