About The Position

Under the general direction of the Principal, this role coordinates, monitors, and supports the various areas of responsibility in the school office, including budgeting, scheduling, communication, and organization. The position ensures compliance for all expenditures, manages district fees, oversees attendance collection, coordinates building safety, maintains school documents, and facilitates school-wide communication and special projects. It also supports site administration in personnel management, performs internal audits, and provides backup for other administrative roles, all while maintaining a high level of ethical behavior and confidentiality.

Requirements

  • High School Diploma or GED.
  • Three years of advanced administrative support experience involving frequent contact with the public.
  • Scheduling, assigning and reviewing work of assigned staff.
  • Competency in computer literacy and Excel.
  • Obtain and maintain a valid Arizona Identity Verified Prints (IVP) Fingerprint Clearance Card (AZ IVP FPCC).
  • Standard practices, methods and materials of assigned work.
  • Techniques and methods for organizing, prioritizing and monitoring work.
  • Business math concepts.
  • Filing and record-keeping principles.
  • Applicable federal, state and local laws, codes, regulations.
  • Occupational hazards and applicable safety principles and practices.

Responsibilities

  • Assist administration with campus budget and financial management.
  • Ensure compliance for all expenditures including purchase orders, payroll, and cash management.
  • Manage district fees and payment system.
  • Oversee collection and verification of substitute and staff attendance.
  • Coordinate building safety procedures and manage key distribution.
  • Coordinate and ensure the maintenance of school documents, and coordinate, create and submit Governing Board agenda items.
  • Coordinate and facilitate distribution of school-wide communication.
  • Coordinate and schedule special projects and events.
  • Support and assist site administration in personnel management.
  • Perform regular internal audits ensuring accuracy of data.
  • Provide back up for Attendance Records Technician and Data Record Technician.
  • Provide exceptional customer service to all stakeholders.
  • Establish and maintain good rapport with students, employees, community members and vendors.
  • Maintains a high level of ethical behavior and confidentiality.
  • Other job related duties as assigned.
