About The Position

The Administrative Sales Manager assists the Branch Director in developing the Branch into a "Model Branch" by supporting agents and the Branch Director in servicing clients, administering company policies, and fostering the effective use of HUNT systems and tools. The role focuses on maintaining branch-wide metrics such as listing inventory, unit sales, and SCSL goals.

Requirements

  • Bachelor’s Degree or higher
  • NYS Real Estate License licensed sales associate or associate broker.
  • One or more year’s secretarial/administrative experience
  • Excellent oral and written communication abilities
  • Ability to multi task and prioritize workflow
  • Proficiency in Microsoft Office (Word, Excel, Power Point)
  • Proficient in Google Apps for Business
  • The ability and eagerness to work in a cooperative and collegial manner with department personnel and agents to accomplish Office and Company goals and objectives.

Responsibilities

  • Assist the Branch Director in developing the Branch as a "Model Branch" to help Agents and the Branch Director more effectively service clients and customers.
  • Administer Company Policies and Procedures.
  • Create a climate for the widespread, effective use of all HUNT systems and tools among sales agents within the Branch.
  • Maintain Branch-wide focus on Model Branch metrics including listing inventory, unit sales and SCSL goals.
  • Demonstrate sales skills mastery in group meetings and in the field with Agents and through personal listing and sales.
  • Demonstrate mastery of and accurately interpret data derived from Hunt systems and tools including Profit Power, ProShow, The Customer Service Center, LeadRouter, Collateral Analytics, the Agent Dashboard (“Agent Achieve”), huntrealestate.com, huntuniversity.com, TeamERA, Seller Select, The Hunt Hotline and the Company’s proprietary Buyer Agency program (“Buy Design”).
  • Demonstrate mastery of Listing Inventory Management and assist Branch Director and Agents in the implementation of successful listing and marketing strategies to meet Branch Goals and A Model Branch.
  • Assist Branch Director with new Agent assimilation through the “16-weeks to success” system and experienced Agents through the Transition Guide.
  • Assist Branch Director in the development of monthly and annual listing inventory, unit and sales volume and SCSL goals via the Hunt Annual Planning System.
  • Educate Agents and Staff on, and enforce where necessary all Company Polices and Procedures, Local MLS Rules, National Association of Realtors Code of Ethics and State License Regulations.
  • Assist Branch Director in the completion and submission of all required monthly Branch Reports.
  • Generally assist the Administrative Assistant and Branch Director in creating a smooth-running Branch operation according to Company Standards of Practice and Policies and Procedures.
  • Assist Branch Director in monitoring and managing all Branch leads and other inbound prospect activity.
  • Assist the Branch Director in appropriate management of the Branch physical plant and grounds according to Company standards.
  • Ensure appropriate staffing during normal hours of operation by being present in the Branch.
  • Establish growth objectives in terms of Branch square footage-to-Agent ratio and per person productivity with the Branch Director.
  • Work with Branch Director to maintain appropriate ratios among each Rating Category.
  • Openly and vigorously demonstrate the Organizational Vision, Mission, Core Values and Core Competencies, The Code of the Hunt Agent, and all unique-to-Hunt and ERA value-added differentiating factors.
  • Support the Branch Director in the creation of a “High-Performance” sales culture as measured by per person productivity and Same Customer Service Level by assisting with the development and/or implementation of regular and meaningful recognition for individual Agent successes and contributions to the Team success.
  • Organize weekly sales meetings designed to either train on skills or education on our products and services.
  • Provide Agent training in the field.
  • Demonstrate the appropriate work ethic for success in the real estate industry.
  • Foster an Branch environmental energy that encourages Agents’ presence in the Branch.
  • Support the Branch Director through a focus on, and commitment to achieve Branch Production Goals and establishment of the Branch as a Model Branch.
  • Assist Branch Director in creation of a climate for peer-to-peer accountability through personal participation in a “Lifeline” Group and a Leadership Forum and encourage the creation of Agent Forums within the Branch.
  • Participate each month as an ex officio member of the Branch Agent Advisors and assist Branch Director in implementation of recommended and accepted Branch actions.
  • Assist Branch Director with the development and implementation of special promotions and Branch team-building events within the Branch Financial Plan.
  • Assist where needed the Branch Administrative Assistant in data entry for listings.
  • Monitor listing expirations and advise Agents accordingly.
  • Spot check completeness of listing files, hard copy and electronically.
  • Assist where needed the Branch Administrative Assistant in data entry for sales.
  • Spot check completeness of pending and closed sale files.
  • Assist Accounting and Branch Administrative Assistant in monitoring closings and collections.
  • Assist Branch Director in preparation and submission of required reports to Regional General Manager.
  • Assist Branch Administrative Assistant on creation and maintenance of a file on each Branch Agent (start date, termination date, license, “getting to know you” form, etc.).
  • Participate in real estate transactions and receive commissions from time to time but is not permitted to follow up on any of the following lead situations: Branch, Relocation, and unassigned IDX leads or any orphaned lead from any HUNT system.
  • Consult with the Branch Director prior to signing any exclusive right to sell, exclusive right or buyer agency contractual agreements.
