About The Position

Under the direct supervision of the Vice President, serves as liaison between the Vice President and management staff for highly specialized projects. Also creates project plans, establishes project teams and monitors progress to ensure completion of projects. This position is at-will, non-exempt and will report to the Vice President.

Requirements

  • Associate's Degree and two (2) years of experience as an executive, office manager or administrative assistant, which includes managing large projects with multiple agency participation, interacting with various levels of management from a variety of disciplines, preparing comprehensive reports, correspondence and other written materials including Standard Operating Procedures and budget preparation.
  • OR High School Diploma or Certificate of High School Equivalency and six (6) years of experience as an executive, office manager or administrative assistant, which includes managing large projects with multiple agency participation, interacting with various levels of management from a variety of disciplines, preparing comprehensive reports, correspondence and other written materials including Standard Operating Procedures and budget preparation.
  • Proficient with Office Suite Software (Core - Email, Word Processing, Spreadsheets, Presentation).
  • Must maintain the ability to qualify for security ID badge.

Responsibilities

  • Acts as primary liaison between Vice President and management staff for specialized projects.
  • Creates project plans and timelines; establishes project teams; and monitors progress to ensure completion of projects.
  • Provides complex, sensitive management and programmatic support to the Vice President.
  • Facilitates implementation of strategic initiatives and plans for Divisions that report to the Vice President.
  • Plans, organizes and directs complex administrative, operational and budgetary studies.
  • Facilitates the budget planning process for the Department.
  • Tracks, controls and reports expenditures to ensure compliance with approved budget.
  • Reviews, analyzes and makes recommendations regarding matters such as organizational structure, team and quality improvement alternatives, budget development and administration, staffing, facilities and policy and procedure development.
  • Researches and writes department level policy guidelines and procedures.
  • Schedules confidential and non-confidential meetings and hearings for the Vice President, prepares agendas and required documents for meetings, schedules and sets up facilities.
  • Assists in maintaining assigned staff members calendars.
  • Prepares all travel and conference related documentation for the Division including approvals through registration and reservations, as well as reconciling post conference documentation for payment authorization.
  • Performs other similar and related duties as required or directed.
