About The Position

The Administrative/Sales Assistant is responsible for monitoring and responding to RFPs/RFQs, including writing bids, within the parameters of the DM Burr customer base. This position will also be responsible for providing administrative support to the sales team as well as the CEO. Additionally, this position will be stationed in the Corporate office front reception area to answer phone calls and assist visitors as needed.

Requirements

  • Previous experience navigating RFP/RFQ portals and identifying viable bid opportunities
  • General understanding of a professional sales process
  • Must be self-driven and able to work independently in a fast paced environment
  • Highly organized with a keen attention to detail
  • Proficient in Microsoft Office applications and able to grasp new programs quickly
  • Excellent communication skills and experience building relationships with customers
  • Valid driver's license and clear driving record

Nice To Haves

  • Associate degree preferred or working towards a degree in related field of sales and marketing
  • 1-3 years of experience supporting multiple professionals or previous experience as an Administrative Assistant

Responsibilities

  • Has the ability to create, draft and present proposals based on guidelines set forth in RFP/RFQ
  • Analyze pertinent industry information, draft bid proposal language, and verifies documentation
  • Review/proof read final production materials to ensure that message, quality, format, and content meet required objectives
  • Input client data into the sales order system
  • Perform a wide variety of highly skilled administrative tasks independently
  • Answer phones and assist visitors as needed, working onsite reception desk
  • Sort and distribute mail throughout office
  • Handle confidential and complex matters for managers/directors
  • Demonstrate the importance of detail and follow through and the ability to set priorities and meet strict deadlines
  • Possess understanding of sales operations and team deliverables as well as all other services related to the team
  • Maintain and produce various reports; look for trends, track and report on all business related metrics
  • Must be flexible and comfortable with changing priorities
  • Will be requested to attend pre-bid meetings occasionally
  • Cross-train in other departments of the organization to provide additional administrative coverage when needed
  • On occasion, may be requested to work evening/weekends for events and/or special projects
  • Any/All other assigned duties
