About The Position

John McCarter Construction is hiring a highly organized Administrative Project Assistant to manage accounts receivable, residential building permits and provide support to our Production Department. This role directly impacts company cash flow and production timelines. If invoices are late or permits are delayed, projects stall. We need someone disciplined, detail-driven, and confident communicating with customers and municipalities.

Requirements

  • In-person Monday–Friday (South Lyon office)
  • QuickBooks experience required
  • Strong Excel and Microsoft Office skills
  • Detail-oriented and deadline-driven
  • Confident phone communicator
  • Comfortable discussing payments with customers

Nice To Haves

  • Permitting or construction admin experience is a plus but not required

Responsibilities

  • Generate accurate invoices based on contracts and change orders
  • Proactively collect customer payments (phone + online)
  • Keep receivables current and aging low
  • Prepare and submit residential building permits
  • Coordinate with municipalities and track approvals
  • Maintain organized project documentation in CRM and accounting systems
  • Answer incoming calls and support customers as needed.
  • Provide estimates over the phone for small service repairs.
