About The Position

The Ohio Board of Nursing (OBN) is recruiting for a PART-TIME Administrative Professional 4 position for its Compliance Team. This position will be scheduled up to 32 hours each week. At the direction of the supervisor, this position provides high-level administrative support to executive staff and program leads by coordinating Board Meeting Compliance, Assisting Legal Hearings, and Assisting with Communications and Media Efforts. The role involves maintaining filing systems, ordering necessary supplies, and processing weekly mailings to Board Members. It also assists in Board meeting preparation and follow-up, including copying and compiling materials, sending disciplinary documents, preparing certified mail, and creating agendas for specific units. The position produces routine and non-routine correspondence, answers phones, provides basic information, returns calls, takes voicemails, delivers messages, receives and sorts mail, processes regular and certified mail, and coordinates special mailings. It maintains the eLicense system with Board Meeting actions and relieves supervisors of routine administrative duties. This includes assisting the Hearing Examiner by preparing legal and procedural documents, coordinating case scheduling, notifying parties, tracking deadlines, transcribing hearing minutes, drafting correspondence, and managing public record requests and calendar scheduling/travel arrangements for Hearing Examiners. The role independently composes and proofreads consent agreements, hearing letters, and other documents related to administrative hearings, maintains records of certified mail and other time-sensitive documents, and manages case and discipline files. Additionally, it assists with creating, curating, and publishing content for internal updates, public announcements, and media outlets, designs visual communications, and posts updates on websites and social media platforms. The position responds to basic policy inquiries and redirects more complex questions to appropriate staff.

Requirements

  • 30 mos. exp. or 30 mos. trg. in secretarial/administrative professional field.
  • Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college; 12 mos. exp. in secretarial/administrative professional field.
  • 12 mos. exp. as Administrative Professional 2,16872.
  • Equivalent of Minimum Class Qualifications For Employment noted above.

Responsibilities

  • Provides high-level administrative support to executive staff and program leads by coordinating Board Meeting Compliance, Assisting Legal Hearings and Assisting with Communications and Media Efforts.
  • Maintains filing systems and ensures necessary supplies are ordered and available.
  • Processes weekly mailing to Board Members.
  • Assists in Board meeting preparation and follow-up (e.g., copies and compiles material, sends out Board Disciplinary documents, prepares envelopes for certified mail, prepares and compiles Board Meeting materials and creates agendas for the Compliance, Legal and Educational Unit).
  • Produces routine and non-routine correspondence as directed.
  • Answers phones, provides basic information regarding Unit matters, returns calls to the public at direction of Unit Manager, takes off voicemail, delivers messages, receives and sorts mail, processes regular and certified mail, and coordinates special mailings.
  • Maintains eLicense system with any Board Meeting actions.
  • Relieves supervisors of routine administrative duties (e.g., assists the Hearing Examiner by preparing legal and procedural documents for hearings; coordinates scheduling of cases; notifies involved parties and tracks deadlines; transcribes hearing minutes; drafts correspondence to participants and manages public record requests; manages calendar scheduling and travel arrangements for Hearing Examiners).
  • Independently composes and proofreads consent agreements, hearing letters and other documents related Ohio Revised Code (ORC) Chapter 119 hearings for review by supervisor and/or adjudication coordinators.
  • Maintains record of certified mail and other time sensitive documents, case and discipline files associated with administrative hearings pursuant to ORC Chapter 119.
  • Assists with creating, curating and publishing content for internal updates, public announcements and media outlets; designs visual communications (e.g., flyers, infographics), posts updates on websites and social media platforms.
  • Responds to basic policy inquiries and redirects more complex questions to appropriate staff.
