About The Position

Provides comprehensive administrative support to the Director of Safety Grants & Rebates, handling non-routine tasks across the Safety Grant Programs, WSIC, and Safety Council Program. Coordinates section workflows by organizing program tasks, routing assignments, tracking deadlines and documentation, and aligning workstreams to keep projects and deliverables on schedule. Interprets and applies BWC policies to resolve administrative matters while preparing, editing, and reviewing correspondence, reports, presentations, and meeting materials for accuracy and consistency. Facilitates communication and information flow between the Director and internal/external stakeholders, relaying decisions, tracking commitments, and providing timely updates. Coordinates calendars for the director and the section, meetings, and section logistics, preparing agendas and materials, recording notes, following up on resulting action items and maintaining organized section documentation.

Requirements

  • 30 mos. exp. or 30 mos. trg. in secretarial/administrative professional field.
  • Knowledge of: English grammar & composition; arithmetic that includes addition, subtraction, multiplication & division; records management; business communications; administrative practices & procedures; general office practices & procedures; agency-specific office practices & procedures; budgeting; government structure & process; BWC and Office of Safety Services organizational structure, policies & procedures; general knowledge of Safety Grants & Rebates Section programs and knowledge of applicable administrative processes.
  • Skill in: keyboarding; business office software applications (e.g., Microsoft Office applications); preparation & formatting of correspondence, reports, spreadsheets & presentations; operation of personal computer & office equipment; applicable BWC administrative & program systems.
  • Ability to: deal with problems involving several variables within familiar context; apply principles to solve practical problems; interpret written & oral instructions; independently organize & prioritize multiple assignments; maintain confidentiality; track deadlines & follow-up actions; compile & summarize information; prepare business correspondence; coordinate meetings & schedules; assess questions & provide appropriate information or referral; communicate effectively with management, staff & external stakeholders.

Nice To Haves

  • completion of associate core coursework in secretarial science or business office applications from accredited career school or community college; 12 mos. exp. in secretarial/administrative professional field.
