About The Position

This role is responsible for tracking and managing work orders, supporting accounting with invoice processing, monitoring data quality, and preparing reports. The Administrative Parts Clerk will also be involved in creating and updating PM schedules and asset information within the EBIS system. A key aspect of this position is training operational teams on the effective use of EBIS, SharePoint, and other systems, ensuring all field work is accurately captured. The role requires operating effectively in a dynamic environment, interacting professionally with various stakeholders, and contributing to a collaborative team atmosphere.

Requirements

  • Knowledge of parts, invoices and work orders
  • Excellent oral and written communication skills
  • Proficiency in Microsoft Word, Excel, Outlook and data entry systems
  • Strong organization and administration skills

  • Time management: the ability to organize and manage multiple priorities

  • Must type minimum of 40 WPM
  • Accurate data input

  • High School Diploma or GED
  • 1 to 2 years administrative office experience
  • 1 to 2 years of data management experience

Responsibilities

  • Track and manage work orders via company’s EBIS system for assigned shops
  • Record all work order information as completed into EBIS ensuring accuracy
  • Support accounting in processing invoices for all parts purchases
  • Receive, analyze, assign and update/follow up on work orders
  • Monitor data quality and make necessary updates
  • Use data to assist operational teams in managing parts, WO’s and PMs
  • Prepare reports for leadership and operational teams
  • Create PM schedules, new assets and parts into EBIS in a timely manner
  • Update PM documents/schedules and update existing asset information
  • Train operational teams on the understanding of data and effective implementation process of EBIS, SharePoint and other systems
  • Ensure all work performed by the field is captured, recorded and correct on work orders
  • Create reports from EBIS and other systems as needed
  • Operate effectively in an environment with frequent and sometimes stressful changes
  • Interact with all levels of the organization, customers, and vendors with a high level of integrity and professionalism
  • Strong team player to foster a collaborative team environment within the shop
  • Attain company/personal measurable goals and objectives to meet all position objectives
  • Effectively acquire, contribute and translate ideas into actions within the work group
