About The Position

Whirlwind Lot and Land Care is currently hiring a full-time Administrative & Operations Specialist to join our administrative office in Lynnwood, WA. This role provides operational, administrative, recruiting, and coordination support to the VP of Finance and VP of Client Services while assisting cross-functional teams, including accounting, recruiting, project administration, and client services. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable balancing multiple priorities in a fast-paced environment. This position serves as a key operational bridge between day-to-day administrative staff and executive leadership, providing overflow support, project coordination, and cross-functional assistance to help maintain efficient business operations across departments.

Requirements

  • 3 or more years of administrative, operations, HR coordination, project coordination, or office management experience preferred
  • Experience supporting finance, accounting, recruiting, human resources, or client services functions preferred
  • Proficiency with QuickBooks and/or accounting software required
  • Strong organizational, communication, multitasking, and problem-solving skills
  • Proficiency in Microsoft Office Suite required
  • Ability to manage multiple priorities, deadlines, and confidential information
  • Ability to work independently and collaboratively in a team environment

Responsibilities

  • Coordinate recruiting, onboarding, certification tracking, and employee administrative functions, including interview scheduling for management, candidate communication, onboarding documentation, employee records management, training/certification compliance, and ongoing employee support
  • Coordinate new contract setup, review, processing, tracking, and operational support while assisting the Client Services and Accounting teams with administrative and daily operational functions, including invoicing, scheduling coordination, customer communication support, and document management
  • Assist with accounting, finance, and contract administration functions, including QuickBooks support, reporting assistance, contract processing, and operational recordkeeping
  • Assist with project setup, tracking, reporting, and administrative coordination while supporting operational procedures and workflow improvements
  • Maintain organized operational files, reports, employee documentation, and company recordkeeping systems
  • Support leadership with special projects, operational initiatives, and continuous improvement efforts as assigned
  • Promote professionalism, organization, teamwork, and operational efficiency throughout the company
  • Serve as a key support resource between administrative staff and executive leadership by assisting with workload overflow, operational coordination, special projects, and cross-functional departmental support as needed
  • Perform additional administrative, operational, project coordination, and support duties as assigned by executive leadership, including the VP of Finance and VP of Client Services, to support company operations and business objectives.
