About The Position

The Administrative Operations Coordinator provides comprehensive administrative, operational, and client service support to the Executive Director and leadership team of the Veterinary Diagnostic Laboratories (VDL). This position coordinates business operations, executive support, special projects, facilities and event management, and stakeholder communications to ensure the efficient day-to-day operation of the laboratory. The role exists to provide high-level administrative coordination that supports the VDL's diagnostic, research, teaching, and outreach missions while promoting operational excellence and exceptional customer service. The position is part-time with a schedule based on laboratory needs. This position may require after-hours work, based on caseload and urgent testing or laboratory needs. This is an essential position, and the employee may be required to report to work, without delay, on some weather closure days and various holidays throughout the year.

Requirements

  • Bachelor's degree in any field.
  • Must possess or obtain a valid driver’s license by the employment start date and maintain such in good standing for duration of active employment.
  • Must safely lift and carry items that weigh up to 50lbs.
  • The successful candidate must be legally authorized to work in the United States by the proposed start date.
  • Department will not provide visa sponsorship for this position now or in the future.

Responsibilities

  • Independently and reliably provide administrative, client services, and business operations support for the Executive Director and administrative team of the Veterinary Diagnostic Laboratories.
  • Prioritize and manage multiple projects simultaneously, both independently and as part of a team. These projects arise daily and require communications to various individuals/teams and organization of documents, responses, and other project outcomes.
  • Organize section and unit events, including employee appreciation events and various teaching, research, and service events. Some of these events may include organization of attendees outside of the university.
  • Develop meeting and project materials, including PowerPoint slides, handouts, letters, and meeting minutes.
  • Organize and manage administrative meetings.
  • Organize and manage various scheduling needs for the Executive Director and other administrative staff.
  • Serve as a positive role model in work performance and practices, including completing testing without delay, minimizing non-work-related activities, ensuring completion of tasks in a timely manner.
  • Provide exceptional client services to all clients, including minimizing operational and testing issues and appropriately resolving client complaints.
  • Manage various building needs including cleaning, repair, keys, work spaces, office supplies and equipment.
