About The Position

Cardinal Education is a rapidly growing educational consulting firm seeking a detail-oriented Administrative & Operations Coordinator to join their division. This role involves supporting clients applying to universities across the United States by working closely with Consultants, Editors, and Student Managers. The position requires a high level of judgment, care, and reliability to manage day-to-day operations. The ideal candidate will have experience in operational, logistical, and administrative roles, with the ability to proactively monitor timelines, coordinate schedules, and communicate effectively within the division to ensure task completion. Commitment during the college admissions season (August–December) is essential due to increased volume and fixed deadlines. Requirements

  • Bachelor's degree from any Top University in the Philippines
  • Proficiency in Google Workspace, Slack, and Zoom is required
  • Exceptional English verbal and written communication skills with a strong command of grammar and lexicon
  • Responsiveness via Slack, Gmail, and Zoom during working hours.
  • Ability to manage and monitor deadlines in a fast-paced, detailed-oriented environment.
  • High level of flexibility and professionalism when coordinating with team members.
  • Strong time management and organizational skills with the ability to manage multiple demands, prioritize tasks effectively, and meet tight deadlines without compromising quality
  • Demonstrated expertise in utilizing productivity software, including Google Calendars, Google Docs, Google Sheets, and other collaborative platforms.
  • Proficient in navigating web-based business tools such as Gmail, Slack, Monday.com, and similar communication or project management systems to facilitate efficient workflow and information sharing.
  • Experience in working successfully within multidisciplinary teams, leveraging the diverse skills, abilities, and knowledge of colleagues to achieve shared objectives.
  • Demonstrated ability to foster a collaborative and inclusive team environment, contributing to group problem-solving and project execution.

Nice To Haves

  • Prior experience in project management, data analysis, logistical operations, and administrative roles is preferred but not required
  • Proficiency in Monday.com is preferred
  • Experience in education consulting or college admissions is preferred but not required
  • Experience working PST hours is preferred but not required

Responsibilities

  • Serve as the definitive handler and strategist for team calendars, orchestrating complex internal and external meetings across multiple time zones, navigating urgent deadlines and shifting priorities.
  • Establish and manage optimized meeting blocks and cross-team schedules, draft and distribute meeting agendas, and provide live session support.
  • Extract, centralize, and validate internal and external data for accuracy across operational platforms, enforce standardization across client folders, file-naming conventions, and shared drives.
  • Develop, deploy, and mandate standardized document templates and rigorously audit/update internal documentation.
  • Verify that all necessary student files, application drafts, and contextual notes are meticulously organized and accessible to consultants before client interactions.
  • Act as the central communication hub for the division, drafting and broadcasting announcements via Slack, and tracking accountability across teams.
  • Draft, polish, and dispatch professional email correspondence on behalf of key stakeholders, manage inbox filtering, and handle administrative requests.
  • Partner with the core Operations team to audit project management tools, monitor workflow progress from a timeline and compliance perspective, and deploy targeted reminders to guarantee zero missed deadlines.
