About The Position

This position serves as the first point of contact within the Dean's office, providing administrative support to the Associate Dean, Finance & Administration to facilitate daily operations and offering back-up support for the Dean. The role involves coordinating school-wide events, managing search committee activities, overseeing student work-study, managing calendars, conference rooms, ordering supplies, and handling facility management. Operating in a high-volume, fast-paced environment, this role requires unwavering professionalism, resourcefulness, and strong problem-solving and decision-making skills. The ideal candidate will provide positive, customer-focused responses to a wide variety of requests and inquiries.

Requirements

  • 2+ years of administrative support experience, preferably in a high-paced, visible, and demanding environment.
  • Excellent communication and interpersonal skills.
  • Ability to understand organizational priorities and a high degree of flexibility to handle changing priorities.
  • Ability to exercise good judgment and respect for confidentiality.
  • Ability to work both independently (with supervision resources available) and as part of a team.
  • Excellent computer skills, including proficiency in MS Office and Google Drive.
  • Customer-focused individual willing to resolve issues and able to find resources to assist in resolution as needed.

Responsibilities

  • Create and maintain the school calendar, including scheduling meetings required by the Articles of Governance.
  • Communicate with school leadership to ensure timely and proper scheduling of all meetings.
  • Ensure rooms are properly furnished for related functions.
  • Coordinate the room reservation system for Faculty, Staff, and Student organizations, including meal arrangements and materials for meetings.
  • Coordinate all aspects of school events, including securing event space, ordering food, sending invites, managing RSVPs, and working with campus departments (A/V, IT, MTS) to ensure smooth operations.
  • Organize and monitor event timelines and ensure deadlines are met.
  • Participate in efforts to publicize events.
  • Assist with necessary travel arrangements for events.
  • Serve as the first contact for the Pinnacle Lecture series.
  • Manage visitor access within the dean’s suite, screening visitors and triaging their needs.
  • Perform facilities management duties, including oversight of building requests, repairs, and office moves.
  • Oversee office equipment and supplies, maintaining inventory of the office, supply closets, and program supplies.
  • Serve as a liaison with outside offices such as Events Management, Facilities, Housekeeping, and Media Technology Services.
  • Facilitate office communication with Faculty, Staff, and Alumni and manage CSON Listserv.
  • Manage swipe access through campus groups.
  • Supervise work-study students.
  • Serve as the primary staff interface for all search candidates, coordinating travel, dining reservations, room reservations, food deliveries, and providing interview packets.
  • Ensure candidates are provided with a chaperone for all transition periods during their visit.
