About The Position

The Maryland Department of Labor is currently accepting applications for an Administrative Officer II position within the Office of General Services. This position provides administrative and operational support in coordinating, tracking, and documenting facilities and leasing projects. The role involves working closely with the Leasing Manager, vendors, internal stakeholders, and the agency's procurement team to facilitate project execution. Key responsibilities include reviewing proposals, verifying invoices, coordinating equipment installation, and monitoring the routing process for requisition submissions. The position also entails communicating project timeliness, cost updates, and status reports to program managers, as well as researching, documenting, and tracking facility-related projects and administrative services. This role supports the agency's mission by providing consistent, dependable support to MD Labor employees, who, through their efforts, provide economic stability to Maryland's citizens.

Requirements

  • Graduation from an accredited high school or possession of a high school equivalency certificate.
  • Two years of administrative staff or professional work.
  • A motor vehicle operator's license valid in the State of Maryland may be required if assigned duties require the operation of a motor vehicle.

Responsibilities

  • Provide administrative support for coordinating and tracking field office leases, renewals, and space acquisitions in collaboration with the Department of General Services, landlords, and program staff.
  • Maintain lease documentation, monitor key dates and deadlines, and assist with organizing records related to facility repairs, improvements, and occupancy changes.
  • Support communication and coordination among landlords, contractors, program staff, telecommunications, and IT to help ensure smooth facility operations.
  • Assist with administrative coordination for agency relocation and facility-related projects by organizing schedules, maintaining project documentation, and tracking action items and milestones.
  • Support the Leasing Manager by preparing meeting materials, documenting notes, coordinating meetings with internal divisions and external partners, and maintaining organized project files.
  • Review proposals, verify invoices, coordinate equipment installation, and monitor the routing process for requisition submissions.
  • Communicate project timeliness, cost updates, and status reports to program managers.
  • Research, document, and track facility-related projects and administrative services.
