About The Position

Actively provides office support for the School Building and performs administrative office support work, general office assistance functions and related work as required. Works cooperatively with the Guidance staff as well as other school building and district personnel. This role is a critical part of the overall school presentation and culture.

Requirements

  • High School Graduate
  • Minimum of two years’ administrative assistant office experience
  • Demonstrated knowledge and experience with diverse office technology and equipment, specifically database, spreadsheet, and word processing.
  • Must be able to work well with the public, staff and students with a variety of backgrounds
  • Ability to maintain confidentiality required
  • Good customer service skills in dealing with the public and staff effectively
  • Must be able perform work quickly, efficiently and accurately
  • Good abilities with office practices, procedures and office equipment
  • Excellent skills in oral and written communication
  • Must be a strong team player, able to collaborate well with others
  • Strong computer competence including standard office software (ex. Word and Excel) and data entry in database

Nice To Haves

  • 3-5 years’ supporting a school administrator a plus
  • Knowledge of Aspen, as it relates to student information and/or other school-based electronic systems a plus
  • Bilingual (Spanish or Portuguese) highly preferred
  • Such alternatives to the above qualifications as the Superintendent may find appropriate and acceptable

Responsibilities

  • Student registration and facilitation of scheduling with guidance department
  • Student enrollment/disenrollment and transfer of records between schools
  • Facilitation of new student onboarding and student mentoring experience
  • Maintain student cumulative folders
  • Maintain alumni records
  • Coordinates scholarship activity and opportunities
  • Answers the phone, email, fax and responding to parent, student, staff and school visitor requests.
  • Manage electronic communication
  • Updating and typing reports, answering communications and correspondence, filing and sorting mail
  • Handle matters discreetly, exercising good judgment in handling confidential mail, records, scheduling and conversations
  • Process paperwork
  • Answering communications and correspondence quickly and efficiently
  • Operate standard office machines and appliances incidental to administrative office support assignments
  • Maintain accurate files and records
  • Handles copying
  • Follow school policies, guidelines, protocols and procedures
  • Copy Center management
  • Coordinate college visits
  • Coordinate course selection appointments and signup sheet
  • Other secretarial and clerical duties as assigned by the Principal and/or his/her designee.
