About The Position

As the first point of contact for students, community members, and employees, the Administrative Office Support role at Kirtland creates a welcoming and positive experience upon entry to the College. This role provides friendly, knowledgeable assistance, connects individuals with the right resources, manages incoming calls and mail, and supports Student Services and other college operations. The ideal candidate is approachable, resourceful, and committed to providing excellent service while helping others navigate the college with confidence.

Requirements

  • High School Diploma or GED equivalent
  • One to three years of administrative, information desk, customer service, or office-support role, or experience commensurate with the requirements of this position
  • Strong verbal and written communication skills.
  • Ability to provide courteous, professional service to students, community members, and staff.
  • Proficiency with basic computer applications, including Microsoft Word, email, data entry, and electronic records.
  • Ability to answer multi-line phones, respond to inquiries, direct visitors, and provide accurate information.
  • Strong organizational skills and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Ability to multitask, prioritize responsibilities, and work independently with minimal supervision.
  • Ability to operate standard office equipment such as computers, printers, copiers, scanners, and telephones.
  • Dependable attendance, punctuality, and a professional demeanor.
  • Ability to work effectively with people from diverse backgrounds and remain calm and helpful in a busy public-facing environment.

Responsibilities

  • Serves as the Information Desk Representative, providing friendly and efficient assistance to visitors, answering inquiries, directing students and visitors to appropriate resources, and maintaining a welcoming and professional environment.
  • Develops and maintains a broad working knowledge of Kirtland Community College programs, services, departments, processes, events, athletics, admissions, financial aid, student services, and other college resources in order to provide timely and accurate information and effectively guide students and community members.
  • Answers multiple telephone lines responding to inquiries and/or transferring calls to the appropriate department as needed.
  • Interacts with college employees, students or outside contacts to provide information, solve routine problems, or otherwise respond to requests.
  • Receives and distributes incoming mail for the Student Services suite.
  • Completes special assignments and projects for departments when requested.
  • Serves as backup support for the Testing Center and other administrative office support roles.
  • Performs other related tasks as required.
