About The Position

At The Coca-Cola Company, our Administrative & Office Assistant plays a vital role in ensuring the smooth day‑to‑day operations of our Draper, Utah office while providing high‑level administrative support to multiple Vice Presidents of Franchise. This role combines traditional executive administrative support with hands‑on office coordination and facilities-related tasks. The ideal candidate is exceptionally organized, proactive, and adaptable, with the ability to use sound independent judgment when handling sensitive and confidential information. This position requires a full-time, in-office presence five days per week and is well suited for someone who enjoys variety, problem-solving, and being a key point of contact for office operations.

Requirements

  • High School diploma required; some college coursework preferred, ideally in Business, Communications, or a related field.
  • Minimum of 5 years of experience in an administrative, executive support, or office coordination role preferred.
  • Proven ability to be a resourceful and proactive problem-solver.
  • Experience coordinating projects and supporting multiple stakeholders.
  • Intermediate proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).
  • Strong written and verbal communication skills with exceptional attention to detail.
  • Excellent organizational and time management skills with the ability to meet deadlines.
  • Experience scheduling travel and managing calendars for leadership.
  • Prior support experience in a professional services, sales, marketing, or corporate environment preferred.
  • Demonstrated experience creating, improving, or modifying administrative or office processes.
  • Must be currently authorized to work in the United States on a full-time basis and must not require The Coca-Cola Company's sponsorship to continue to work legally in the United States.

Responsibilities

  • Provide comprehensive administrative support to Vice Presidents of Franchise, including calendar management, meeting coordination, expense reports and travel arrangements.
  • Create, handle, and maintain presentations, complex reports, confidential correspondence, and files.
  • Process purchase cards, expense reports, invoices, and settlement forms through appropriate systems and portals.
  • Maintain departmental databases, trackers, and distribution lists, including budget and financial tracking spreadsheets.
  • Assist with new hire onboarding, including coordinating security access badges and facilitating pre‑employment testing.
  • Manage daily office operations, including receiving, sorting, and distributing mail and packages.
  • Prepare and ship outgoing packages and documents.
  • Serve as the primary point of contact for basic office needs such as printer troubleshooting and coordination with vendors or IT as needed.
  • Order and maintain office supplies, kitchen supplies, and presentation materials.
  • Interface with internal teams, customers, vendors, and external partners to maintain positive working relationships.
  • Coordinate meetings, maintain department calendars, and support projects and programs specific to the operating unit.
  • Administer processes and provide guidance to project managers and contractors as needed.
  • Demonstrate the ability to work effectively in a fast‑paced environment, often under pressure, while maintaining a high level of professionalism, discretion, and confidentiality.
