About The Position

This role serves as an Administrative Lead, reporting to the department director. It involves performing both routine and diverse office management and administrative functions, including confidential personnel matters. The position provides clerical support to the management team and participates in collaborative planning and evaluation activities as part of the executive leadership team.

Requirements

  • High school diploma or GED.
  • At least four years of progressively responsible general clerical work including office management and supervision of others.
  • Valid Washington State Driver’s License.
  • Demonstrates an acceptable level of proficiency in the use of computer applications relevant to the functions of the position.
  • Communicates in a tone and manner that demonstrates respect.
  • Demonstrates the capacity to receive, process, and provide complex visual, verbal, and written information.
  • Demonstrates personal organization to carry out multiple tasks or projects and provide timely responses to requests and deadlines.
  • Adheres to all Department policies and practices, including those related to confidentiality and privacy.
  • Proficient in the use of Microsoft Office applications.

Responsibilities

  • Prepares and maintains confidential correspondence and sensitive material for the Department Director and other management staff, including functions related to hiring, maintaining personnel files, processing background checks, and recording required training.
  • Coordinates the records retention schedule for purging and archiving administrative records.
  • Serves as the Clerk of the Board for the County Board of Health and other advisory boards, including maintaining minutes, distributing materials, and assuring the official record of Board of Health meetings.
  • Provides project management support for executive team members, including coordination of activities, effective communication with a diverse team, and working to implement projects or plans.
  • May supervise all or part of the department’s administrative staff.
  • May delegate administrative tasks to other administrative staff.
  • Develops and maintains policies and procedures related to assigned administrative support functions.
  • Develops and maintains systems to ensure efficient tracking and processing of administrative requirements and processes, contracts, and correspondence.
  • Participates in systems-level analysis, planning, and continuous quality improvement.
  • Supervises assigned staff and/or functions.
  • Performs public health emergency response duties as assigned and consistent with training.
  • Performs other duties as assigned consistent with job classification.
