About The Position

The Admin Intern provides front-desk and administrative support in a high-touch healthcare environment. This role is ideal for someone seeking hands-on experience in healthcare operations, customer service, and office administration. The ideal candidate is professional, dependable, detail-oriented, and able to work effectively in a team-based setting. Private Medical has spent the last 20 years creating a new category of concierge medicine — private medicine — by designing a system that honors the relationship between patients, physicians, and each member of the care team. Based in California, New York and Florida, our physician-led teams work in concert with our Gynecologists, Naturopathic Medicine Doctors, curated local specialists, elite medical centers, and specialists around the world, to provide evidence-based, longitudinal care to our members and their families. Private Medical is, by design, privately held and free from any conflicts of interests. You will be practicing in a personable, non-hospital environment, one unencumbered by time or volume requirements dictated by insurance or institutional protocols. There is great patient interaction and close teamwork with physicians, nurses, MAs and other team members. You will have time to invest in deep relationships with patients, and your success will not be measured based on volume or time, but on providing the best quality care at a high level of service. You have to be willing to have a great client service attitude - gracious, personable, and accommodating.

Requirements

  • Professional presence, polish, and discretion comparable to a luxury hospitality setting

  • Comfort handling sensitive patient information with confidentiality

Nice To Haves

  • Knowledge of medical terminology is preferred
  • Customer service experience is a plus

Responsibilities

  • Answer, screen, and route incoming phone calls
  • Greet patients warmly and assist with check-in and check-out
  • Provide accurate information by phone and email
  • Receive, sort, and distribute mail
  • Support patient care coordinators and clinical staff with daily administrative needs
  • Assist with lab pickups and courier coordination
  • Follow office workflows and procedures to support efficient operations
  • Maintain office equipment and ensure copiers are stocked and operational
  • Keep workspaces, kitchens, restrooms, and supply areas fully stocked and organized
  • Assist with office outings and quarterly event planning within a set budget
  • Scan and upload receipts for billing and quality assurance purposes
  • Place lunch orders for meetings
  • Support inventory, stocking, and supply management
  • Perform routine medical and emergency equipment checks
  • Assist with basic troubleshooting and maintenance of medical equipment
  • Manage autoclave-related tasks
  • Perform COVID and viral testing on approved devices after training
  • Help maintain a clean, organized patient-facing and back-office environment
  • Complete additional administrative tasks as assigned
