About The Position

The Administrative Fellowship is a two-year professional development program designed to provide broad exposure to nonprofit leadership, governance, finance, compliance, fundraising, and organizational operations. In addition to responsibilities within the Executive Office, the fellow will participate in cross-functional projects, receive mentorship from senior leaders, attend selected leadership and Board meetings, and complete strategic assignments aligned with organizational priorities. Development goals and fellowship progress will be reviewed periodically with the President & CEO. Under the direction of the President & CEO, the Administrative Fellow, Executive Office & Governance supports the effectiveness of the Executive Office by coordinating complex schedules and priority meetings, preparing briefing materials, tracking decisions and action items, and facilitating timely communication with Board members, donors, senior leaders, and external partners. Through cross-functional assignments, mentorship, and exposure to organizational decision-making, the fellow will develop the knowledge and skills needed for future nonprofit leadership roles. This role is a full-time hybrid position with approximately 2-3 days per week in our Alexandria, Virginia office.

Requirements

  • Bachelor’s degree or an equivalent combination of education and relevant experience
  • Demonstrated interest in nonprofit leadership, administration, governance, or public service
  • Experience gained through employment, internships, fellowships, volunteer leadership, or academic projects
  • Strong organizational, writing, research, analytical, and presentation skills
  • Ability to manage multiple priorities and meet deadlines with accuracy
  • Sound judgment and discretion in handling confidential information
  • Curiosity, initiative, adaptability, and a commitment to professional growth
  • Proficiency with Microsoft 365, virtual meeting platforms, collaborative work tools, and approved generative AI application
  • Exceptional interpersonal and communication skills with the ability to build relationships with stakeholders, including staff, board members, external partners and donors
  • Ability to function in a high-energy environment and work closely with senior management
  • Capability to streamline processes and implement organizational systems for improved efficiency
  • A proactive approach to achieving objectives and tackling challenges

Responsibilities

  • Manage the President & CEO’s complex calendar, prioritize meeting requests, and resolve scheduling conflicts
  • Meet regularly with the President & CEO and CFO to review priorities, emerging issues, and required follow-up
  • Prepare agendas, background materials, briefings, and pre-reads for priority meetings.
  • Coordinate executive travel, accommodations, itineraries, and expense reporting
  • Track decisions, commitments, and action items arising from executive meetings
  • Serve as a central administrative contact for Board and committee meetings
  • Coordinate annual meeting calendars, scheduling, agendas, materials, attendance records, travel, and logistics
  • Prepare, finalize, and distribute Board and committee materials and draft meeting minutes
  • Maintain the Board portal and official governance records, including approved policies and meeting minutes
  • Coordinate Board correspondence and follow-up in collaboration with executive leadership
  • Coordinate annual charitable solicitation registrations, corporate registrations, and related compliance filings under the direction of the Chief Financial Officer
  • Maintain compliance calendars and supporting records and monitor filing deadlines
  • Serve as the administrative liaison to external compliance vendors and legal service providers
  • Support Executive Team members with expense reports and other assigned financial or administrative activities
  • Participate in cross-functional assignments involving finance, development, programs, advocacy, and operations
  • Support planning, execution, and evaluation of comprehensive campaigns and other strategic initiatives designed to advance organizational priorities and mission impact
  • Conduct research and prepare analyses or presentations supporting organizational priorities
