About The Position

The Administrative Director works closely with the Vice President, Pathology, and Vice Chair, Pathology Research in overseeing the entire MGB Pathology Research enterprise. Works with leadership to set the administrative direction (i.e., organization structure, policies and procedures, systems, etc.). Co-leads efforts for Research Strategic Planning and resource prioritization. Drawing on a broad understanding of MGB/BWH/MGH and sponsor policies and requirements, and displaying a high degree of initiative and independent judgment, the incumbent will collaborate closely with Pathology leadership, physicians, scientists and MGB Research leadership to continually assess and direct a wide range of research issues, including: financial, personnel, operational, regulatory, facilities, systems, programmatic development, long-range planning and project development for the organization.

Requirements

  • Bachelor's Degree Finance required or Bachelor's Degree Business Administration required
  • Research Administration experience (3-5 years required)
  • Professional staff supervision experience (1-2 years required)
  • Ability to skillfully handle issues of sensitive nature with respect to confidentiality, abiding by institutional guidelines.
  • Extensive knowledge regarding research financial, operational, business planning and project management, grant management, sponsor and institutional guidelines and requirements, etc.
  • Ability to develop a common vision for stakeholders, communicate effectively, sell ideas, and take ownership and responsibility for activities.
  • Effective financial and analytical skills, including ability to develop and monitor budgets, grant and contract management.
  • Ability to ensure timely submission and review of budgets and performance evaluations.
  • Excellent interpersonal skills to deal effectively with both senior management and staff.
  • Strong verbal and written communication skills and proven ability to communicate complex material.

Responsibilities

  • Acts as key voice in developing and operationalizing the strategic priorities for Pathology research which include, an MGB-integrated approach for faculty recruitment/retention and compensation, support infrastructure, departmental support programs
  • Evaluates departmental research organization support structure and makes recommendations for change based on overall effectiveness, efficiency, equity, and resource availability.
  • Develops performance metrics and participates in benchmarking within and outside of MGB
  • Oversees departmental controlled research funds; evaluates support requests and performs funding analyses, both short and long term, to ensure that fund commitments are done in a way to ensure long term financial stability and availability of resources
  • Works closely with Vice Chair and Director of Pathology practice operations to develop researcher compensation plans, monitor fund availability and make changes to compensation programs in conjunction with Pathology chair and vice chair
  • Develops and implements tools, systems and resources to support and facilitate proposal and award activities and to improve coordination of grant activities among principal investigators and Research Management.
  • Works in concert with Research Management and principal investigators to ensure the continuity of the overall research effort.
  • Evaluates new technology and best practices throughout MGB and recommends changes as warranted
  • Manages all phases of research grant and contract administration, including personnel management and staff training/development.
  • Oversees research financial transactional activities (payroll, travel requests, Workday employee changes, journal entries, check requests, etc.) and serves as approver per Workday requirements.
  • Oversees research expense management issues; analyzes spending policies and historical allowances and works with research management team to develops and implement policies and procedures and strategies for cost containment.
  • Supervise the budgetary process, including review and approval of funding requests, as well as serve as liaison to the Development Office in providing strategic guidance and involvement with fund raising.
  • Provides oversight of departmental symposia and visits/lectures by outside researchers through administrative team
  • Actively participates in T32 training grant submission and award management, coordinates supplemental resource needs with Pathology Finance Director
  • Performs other duties as assigned and complies with all policies and standards
