About The Position

Wold Architects and Engineers is seeking an Administrative Coordinator for a professional office environment in Palatine, Illinois. This role is part of the Corporate Team and represents the company at large, requiring a team player who is dependable and amicable. Wold is a dynamic, growing architectural and engineering firm with core values centered on customer service. The position provides administrative support to architectural and engineering teams, including project managers and project staff. Key responsibilities include managing formal correspondence, providing receptionist backup, handling incoming and outgoing mail, and supporting various corporate operations projects. The ideal candidate will also be enthusiastic about taking on additional duties such as social event planning and branch office coordination.

Requirements

  • Proficient in use of word processing (Microsoft Word preferred), Outlook and Excel
  • Good working knowledge of PowerPoint, Publisher and other applicable programs
  • Outstanding and accurate word processing skills (50+WPM)
  • Keen eye for proofreading and editing
  • Contract and technical writing skills
  • Bachelor’s degree
  • 0-3 years of related administrative experience in a professional office environment
  • Ability to perform multiple tasks independently and effectively prioritize tasks and resources
  • Strong attention to detail, accuracy, and follow through
  • Ability to work on multiple projects while maintaining deadlines
  • Excellent oral and written communication skills
  • Ability to interact with all department staff and other key individuals

Responsibilities

  • Provide administrative support to architectural and engineering teams, including project managers and project staff
  • Handle all formal correspondence
  • Provide receptionist backup
  • Manage incoming and outgoing mail
  • Execute various projects to support corporate operations
  • Plan social events
  • Coordinate branch office activities
  • Prepare minutes and other business correspondence, including unique and detailed reports, memos, and submittals
  • Assist in overseeing the day-to-day operations of the administrative team, ensuring all processes and procedures are followed accurately and efficiently
