About The Position

The Administrative Coordinator provides professional administrative and operational support for the Old Red Medical Museum. This role involves working collaboratively with faculty, students, staff, and external stakeholders to support the daily operations of the museum and the management of heritage collections. The position is onsite and is a non-benefit-eligible role limited to up to 8 hours per week.

Requirements

  • Bachelor's degree or equivalent in a related field
  • 2 years of related experience
  • Proficiency with Microsoft Office software
  • Effective problem-solving skills
  • Strong professional communication and interpersonal skills
  • Ability to manage multiple priorities

  • Previous experience of working in an academic medical school/heritage environment

Responsibilities

  • Provide administrative support for the museum, including serving as a point of contact, scheduling meetings, and drafting minutes.
  • Maintain collections management records and policies.
  • Submit invoices and purchase order requests through the Academic Enterprise Service Center.
  • Process Travel Authorizations and travel reimbursements for museum personnel.
  • Adhere to internal controls and reporting structures.
  • Coordinate program of tours and events.
  • Maintain a calendar of museum activities.
  • Interface with UTMB internal services (Facilities, Classroom Services, etc.) personnel.
  • Participate in the analysis of the museum budgets.
  • Perform other related duties as required.
