About The Position

Nebraska Methodist College (NMC), an accredited, private, not-for-profit nursing and healthcare college located in Omaha, Nebraska, is seeking an Administrative Coordinator. NMC, established in 1891, offers outstanding undergraduate, graduate, and certificate programs in nursing and allied health to over 1,100 students. The college fosters a holistic culture of caring, integrating service-learning, community-based education, and leadership development. The Administrative Coordinator will provide advanced administrative support to the President and support the Vice President in executive functions and projects. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to handle a wide range of administrative tasks effectively. The position serves as a key liaison between the President/Vice President and various internal and external stakeholders, contributing to the efficient functioning of the office and the achievement of institutional goals.

Requirements

  • Bachelor degree in a relevant field preferred.
  • Minimum of 5-7 years of administrative experience required.
  • Minimum of 3 years of progressively more responsible experience coordinating projects, events, or programs required.
  • Excellent interpersonal and customer service skills necessary to communicate with Board of Directors, executives, faculty, staff, students, and community members by verbal and written communication.
  • Knowledge of project management methods and practices.
  • Skills in preparing reports, performing calculations, keeping records, and dealing effectively with people.
  • Ability to coordinate large email or postal communications.
  • Ability to utilize a variety of computer applications, including Microsoft Outlook, Word, Excel, and PowerPoint.
  • Excellent grammar, punctuation, spelling, and presentation layout skills.
  • Knowledge of office procedures and principles of record keeping.
  • Proficient in presentation preparation.
  • Excellent customer service skills, ability to maintain confidentiality and professional rapport.
  • Ability to handle multiple tasks and meet tight deadlines with little or no supervision; be detail-oriented, highly organized, and maintain a professional image.
  • Must have technology and AI literacy, exceptional keyboarding skills and sound knowledge of word processing, spreadsheet development/management, and graphics applications (at an advanced level, specifically Microsoft Office applications).

Responsibilities

  • Facilitates the development of system projects related to College administrative functions, including project planning, cost oversight, communication, and analysis of success.
  • Identifies required personnel, resources, and timelines upon project assignment.
  • Delegates tasks to others when appropriate.
  • Identifies and manages costs related to project completion.
  • Communicates actions, activities, timelines, and progress to appropriate team members and keeps supervisor informed of progress or potential delays.
  • Creates methods for measuring project success and reports to supervisor.
  • Reviews, updates, and initiates administrative policies for NMC projects.
  • Plans and implements timely policy updates.
  • Determines appropriate communication methods to notify College personnel of policy additions and revisions.
  • Creates website alerts, memorandums, and posted materials to notify staff of policy, process, or regulatory changes.
  • Participates in leadership meetings related to assigned projects.
  • Assists in the development of employee communications concerning employee programs, issues, policies, announcements, promotions, and celebrations.
  • May require active participation in College activities, communications, and projects.
  • Assists with marketing tasks related to assigned projects.
  • Provides support for administrative functions.
  • Prepares documents, assembles materials, and distributes information as requested.
  • Answers emails and phone calls, and attends meetings.
  • Documents project timelines, objectives, and goals.
  • Invoices expenses and monitors compliance with budgetary amounts.
  • Schedules meetings and maintains files/records.
  • Assists with contract administration.
  • Prepares, formats, and edits contracts using standard templates.
  • Maintains organized digital contract files, ensuring quick retrieval.
  • Monitors critical dates such as expiration and auto-renewal.
  • Routes contracts through internal workflows.
