Requirements

  • Associate’s Degree and three years of broad, varied, and increasingly responsible experience.
  • The equivalent combination of education and relevant experience may substitute for the required degree.

Nice To Haves

  • Two years of working experience in a registrar’s office/student records.
  • Prior experience working as a school registrar.
  • Proficient with the FOCUS Student Information System.

Responsibilities

  • Works closely with the school administrators and counseling team in the areas of school/student records, document development and correspondence, and scheduling.
  • Performs specialized and responsible clerical and technical tasks related to the registration of students and maintenance of student records, files, and physical school data; as well as related duties as required and conveying registration related information and reports to the appropriate parties.
  • Organizes and coordinates executive outreach and supports special projects and initiatives.
  • Coordinates logistics for Principal meetings and events, to include the Tallahassee Collegiate Academy Governing Board Meetings.
  • Ensures that the school records are accurate and up to date.
  • Meets professional obligations through efficient work habits such as, meeting deadlines, honoring schedules, coordinating resources and meetings in an effective and timely manner, and demonstrate respect for others.
  • Monitor students in non-academic areas including cafeteria, hallways, study hall, and field trips.
  • Monitor student behavior according to school policies; Provides customized support to students when needed.
  • Receives, reviews, compiles, and evaluates applications, transcripts, and other specialized documents.
  • Coordinates assigned programs and/or activities (e.g. student registration, attendance issues) for the purpose of delivering services in conformance to established guidelines and ensuring performance of complex and difficult tasks.
  • Reviews, maintains and evaluates student profile information, student records, programs, grades, personal eligibility records, physical school data, homeschool verification, and school lottery.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting documents when needed.
  • Tracks, monitors, and follows up on projects and action items stemming from the principal—working closely with members of the Leadership Team to receive regular updates on outstanding items.
  • Serves as support to the school registrar leading up to and during FTE week to ensure that all aspects of FTE reporting are completed on time and correctly.
  • Support and/or coordinate all logistics related to school calendar functions, school board meetings and school based professional developments, including location, materials, technology, and food.
  • Provides support for other projects and tasks as requested by the principal.
  • Support Principal with internal communications, announcements, and updates.
  • Generally, serve as the principal’s liaison with external contacts managing and responding to routine communications.
  • Works closely and effectively with the principal to keep him/her well-informed of upcoming commitments and responsibilities, following up appropriately.
  • Supports the functions of the Governing Board Meetings to include setting up, attending meetings and recording minutes.
  • Performs any other related duties as assigned by the Principal for the purpose of the efficient and effective function of the school.
