About The Position

Reporting to the Associate Dean for Practice, the Administrative Coordinator will provide vital project and administrative support to the School of Public Health’s Practice Division. This role involves coordinating daily administrative tasks, managing calendars, serving as a primary contact, and assisting with event planning and finance support.

Responsibilities

  • Coordinates and performs daily administrative tasks to ensure functioning of the SPH Office of Practice.
  • Ensures that all tasks and administrative responsibilities of the Practice Division administrative office are met on time, professionally, and responsibly.
  • Manages calendar for Associate Dean for Practice.
  • Anticipates and ensures that all meeting details, confirmations, and back-up materials are in order.
  • Serves as the primary contact for the Associate Dean for Practice; refers inquiries to appropriate parties as necessary.
  • Coordinates staff services, interoffice activities, schedules, programs and related administrative needs for the Office.
  • Administers/prepares reports, minutes, correspondence, lectures and administrative materials.
  • Assists in development/coordination of programs/projects as assigned.
  • Manages all aspects of event/meeting planning, meeting strict deadlines, and staying within budget. Responsibilities may include coordinating print and/or email invitations, coordinating with vendors, managing RSVP lists, creating name tags, event briefings, staffing and invoice processing.
  • Staffs committee(s) chaired by the Associate Dean for Practice.
  • Assists with monitoring expenditures and runs reports; performs online systems entry of documents or data involving accounts payable, purchasing, budgeting, travel expense reports for Associate Dean, etc.
  • Performs other duties as assigned.
