About The Position

We are seeking an Administrative Assistant to join our North America Market Area (NCA) Administration team. You will be responsible for providing comprehensive office and clerical support services, including coordination of daily administrative activities, preparation of reports and communications, and executive support. Your role plays a crucial part in ensuring efficient office operations and effective communication, which will positively impact leadership effectiveness, employee experience, and overall business continuity. In this position, you will report to the Senior Manager, Human Resources. This position is mainly located in Montreal and is a 15 month fixed term contract, based on site four days per week. Some local travel is required.

Requirements

  • College degree or equivalent education and training
  • Minimum 2+ years of experience in office administration or a similar role
  • Fully bilingual in French and English (required)
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Highly organized, self-directed, and able to manage multiple priorities in a fast-paced environment
  • Strong interpersonal, verbal, and written communication skills
  • Demonstrated ability to work collaboratively across teams and departments
  • A valid driver's license

Responsibilities

  • Coordinate day-to-day office administration services to ensure efficient and reliable operations
  • Prepare and assist with reports, spreadsheets, presentations, and ad-hoc management requests
  • Develop and distribute internal and external business communications
  • Prepare, edit, and manage correspondence, including letters, memorandums, and reports
  • Manage incoming and outgoing mail, courier services, and vendor cheque distribution
  • Arrange and coordinate travel, meetings, conference calls, and expense reports for the NCA Market Area President
  • Plan and coordinate events such as meetings, office gatherings, and employee functions
  • Support the local implementation of new policies, programs, and organizational initiatives
